Position:
Rural Assistant


Location:
Minster House, The Commons, Shaftesbury, SP7 8JU

Hours: 8.45am - 5.30pm

Monday to Friday with 1 hour unpaid each day for lunch

Holiday: 25 days per annum


Job Overview
The anticipated workload will be varied but will include the following (where necessary on the job training will be provided):

  • Provide administrative support to allocated fee earners and share overall administrative workload for department when workload permits.
  • Maintaining a good relationship with landlords, arranging meetings, property inspections and writing inspection reports.
  • Proficient use of specialist rural estate management software. Maintaining database, processing rent reviews and actioning compliance procedures.
  • Organising straightforward property repairs and managing contractors.
  • Liaison with accounts department for the payment of contractor invoices, the collection of rents and the preparation of landlord's statements.
  • Raising rent demands and agent fees, uploading sale invoices, purchase invoices, service charge invoices, demands and producing landlord and tenant statements.
  • Preparing and collating monthly management reports/statistics for the F&R Department.
  • The drafting of and the internet based research for Red Book valuation reports. Incorporating schedules of photographs, comparable evidence and plans. Ensuring all reports and invoices are correctly formatted before sending.
  • Preparation of land and site plans for use in reports, tenancy agreements and property particulars using a specialist mapping software.
  • Preparation of lettings particulars and marketing material using standard templates. Fielding property applicants and arranging viewings. Referencing applicants and drafting and collating tenancy documents.
  • Arranging and preparing documentation for department meetings and taking and writing minutes.
  • Preparation of grazing, mowing and cropping licences, farm business tenancies and leases, the collection of rent and their general maintenance throughout the year.
  • Production of spreadsheets and the compilation and presentation of figures through Microsoft Excel.
  • Maintaining the digital filing system, photocopying, scanning and filing all relevant documents into the correct place.
  • Placing adverts in local, national and specialist publications.
  • Liaison with other members of staff and together ensuring the smooth running of the Department.
  • Making tea and coffee and keeping communal areas tidy.
  • Attending to post.
