Due to business expansion, a well-established business is looking a Service Coordinator to carry out a dual role working in their Technical and Operations departments.

The overall objectives of the role are to manage all processes relating to the install, maintenance and monitoring of security systems and to assist the operations team with administration relating to the manned guarding division of the business.

This opportunityis ideal if you have a solid background in technical or operations administration, enjoy multi-tasking and managing your own workload as well as having regular contact with existing customers and frontline teams.


As a Service Coordinator, your responsibilities will include:

  • Providing administration support to the Technical and Operations teams;
  • Being the first point of contact for customers to report faults with their security system;
  • Logging faults, coordinating an engineer call/visit and ensuring customer KPI's are met;
  • Following up with customers after an engineer call/visit to make sure the repair was successful;
  • Keeping a database of all maintenance contracts, scheduling service visits and organising repairs;
  • Sending servicing paperwork to the customer for their records;
  • Converting technical quotations onto a quote template and proofreading to ensure their accuracy;
  • Drafting welcome packs for new customers explaining how to report faults and giving them useful information about their security install;
  • Obtaining PO's from customers and raising all technical invoices, each month;
  • Updating a webbased scheduling system with pay rates and charge rates, ensuring accuracy of invoicing;
  • Maintaining a database of subcontractors and ensuring their insurances, accreditations etc. are continually valid;
  • Preparing all paperwork and keeping records for technical and operational audits;
  • Processing holiday requests and ordering uniform for frontline teams;
  • Sending rotas to frontline teams each month as well as updating them on any changes to their rota;
  • Pulling data together and producing KPI reports for departments across the business;
  • Managing the process for keeping customer keys to BS7984 and doing regular key audits;
  • As part of the head office function in Oldbury, working with the accounts, payroll, HR, operations and sales team by supporting any general administration duties.

We are looking for a Service Coordinator who has the following skills and experience:

  • Solid technical or operations administration background;
  • Exceptional attention to detail, and the ability to spot mistakes in spelling and grammar to ensure high quality documents are issued to customers and staff;
  • An excellent telephone manner including good questioning and rapport building skills;
  • A good working knowledge of MS Word, Excel. Google docs, webbased systems & Outlook are essential.
The work will be demanding and varied.
