Job summary and purpose


The health informatics team deliver programmes of work that include providing secure environments for storing and accessing health and other sensitive data to support health and care delivery, research, and innovation.

The Administrator role will be the support function for the team, helping to ensure successful project delivery.


Key responsibilities:


The Administrator will:

  • Help team members with the daytoday running of projects. For example, minute taking, tracking actions and prompting for updates against these actions
  • Support the team with organisation of meetings including preparing agendas/meeting papers, scheduling with multiple internal and external diaries, venue booking, setting up video conferencing facilities, directions, travel logistics etc.
  • Remain flexible to pick up ad hoc, sometimes urgent tasks, as required and reprioritise existing workload accordingly
  • Undertake any additional administrative tasks as required, for example, raising purchase orders.
The ability to develop good working relationships and change communication style for different audiences is essential to this role.

Competence

Essential requirements
Qualifications and- training- Educated to degree-level,
or with administrative professional experience

Knowledge- Knowledge of the NHS landscape and the challenges it faces [working knowledge of the Eastern region desirable]

  • Knowledge of the basic principles of project management [desirable]

Skills:


  • Strong organisational skills, able to multitask and prioritise work with competing pressures
  • Excellent written and verbal communication skills, able to adapt tone for different audiences
  • Good levels of emotional intelligence and resilience
  • Keen accuracy and attention to detail
  • Creation of easy to understand reports using complex information from multiple sources
  • Comfortable with working in a fastpaced and sometimes ambiguous environment
  • Enjoys working in a small team, picking up tasks from colleagues as required to support each other's workload, reprioritising as needed to collectively deliver project responsibilities
  • Microsoft Office 365 (Outlook, Word, Excel, PowerPoint) or equivalent, with ability to learn additional project management software (such as Jira).
ExperienceRight to work in the UK- Experience of developing good working relationships with people of all levels

  • Experience of organising meetings, events or other activities
  • Demonstratable experience of producing documentation to specific requirements

The role holder will sometimes be required to be flexible with their hours of work for the team to collectively meet certain deadlines.

Occasional travel both within the region and nationally is required.
