Site Secretary/PA to the Directors with Document Control Responsibilities
Responsibilities:
As a Site Secretary/PA to the Director with document control responsibilities, your key duties will include:
- Assisting the Director with day-to-day administrative tasks, including managing correspondence, arranging meetings, and maintaining schedules.
- Preparing and formatting documents, reports, and presentations to a high standard.
- Overseeing document control processes for construction projects, including document distribution, tracking, and archiving.
- Collaborating with project teams to ensure compliance with document control procedures and standards.
- Tracking and monitoring projectrelated documentation, such as contracts, drawings, specifications, and correspondence.
- Maintaining accurate and comprehensive records of all project documents, including revisions, transmittals, and approvals.
- Assisting with the preparation of bid packages, tender documents, and contract administration as required.
- Supporting the Director in liaising with clients, subcontractors, and stakeholders, maintaining professional and effective communication.
- Undertaking site visits as necessary to provide onsite administrative support and assist with document control.
Requirements:
To be successful in this role, you should possess the following qualifications:
- Proven experience as a Site Secretary, PA, or similar role within the construction industry.
- Strong understanding of document control processes and procedures within a construction environment.
- Proficiency in document management systems and software, with the ability to quickly learn new tools and technologies.
- Excellent organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.
- Exceptional attention to detail and accuracy in managing and organizing project documents.
- Strong verbal and written communication skills, with the ability to effectively interact with various stakeholders.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Familiarity with construction terminology, drawings, and specifications.
- Flexibility to travel to construction sites in London and the surrounding area when required. (Driving Licence Required)
- A proactive and selfmotivated attitude, with the ability to work independently as well as part of a team.
You will be a well mannered and well presented individual as face to face contact with the companies many high profile clients will be a regular occurrence.

£40,000.00-£45,000.00 per year
