The Role

George Watson's College wishes to appoint a Pupil Support Admin Team Leader to support Pupils attending the Pupil Support office and counselling service.

To line manage the Pupil Support Admin team (Guidance support Administrator, Pupil Support Admin Assistant, Upper Years Administrator and Careers Administrator) and provide a range of administrative duties for the Senior School Guidance Team.

The Pupil Support Admin in the Senior School supports Guidance and Careers.

Main Responsibilities


Guidance:


  • Implementation of the

National Practice Model:
Creating and updating chronologies, Planning Meeting paperwork and action planning. Using experience and knowledge of pupils to ensure continuity of support requirements and effective note keeping.

  • Pupil Wellbeing Update: Create, update and share the Wellbeing Update.
  • Management and oversight of Crossreach counselling referrals.
  • Primary liaison between Crossreach Counselling Service, the Counsellor, Senior School colleagues, pupils and parents.
  • Managing the counselling waiting list based on an understanding of pupil need within the Getting It Right For Every Child (GIRFEC) Framework.
  • Support pupils who present to Pupil Support during the school day, triaging on a case by case basis and providing a professional, flexible and intuitive service in line with their needs.
  • Supporting pupils and referring to Head of Year/Progression Coordinator/Head of Lower, Middle and Upper Years.
  • Supporting parents and pupils daily, discussing both long and short term support requirements.
  • Getting to know pupils attending the pupil support office as a first point of contact.
  • Logging actions/outcomes/information shared using PASS/3sys (MIS).
  • Request, receive and input S1-S5 Absence Alert mobile numbers into 3Sys each start of Session.
  • Distribute guidance support cards to pupils: Time Out Cards, Early Lunch Passes, Uniform Dispensation cards.
  • Attendance at and member of Heads of Guidance Meeting.

Crossreach
Manages Crossreach referrals, creates and communicates Crossreach appointments.


Database Upkeep:

Sys Pastoral:
Log and share multiple pastoral and confidential records


Key colleague in making changes to pupil and parent details held on 3sys such as changes to name, address, family contacts and ranking.


Educational Maintenance Allowance:

Check attendance and authorise fortnightly payments sheets sent by EMA Office.

Liaise with parents/pupils/City of Edinburgh Council.


Personal Social Development Administration:

To proactively organise and ensure that PSD materials are ready for teachers to use.

Lessons and resources are created by the Head of Pupil Development.


Schedule and Administer NHS Vaccinations:

Liaise with NHS lead staff to schedule, manage and administer school vaccinations.

Respond and resolve parent and pupil enquiries.

Provide support on the day where required.

Arranging bulletin entries when required in line with Guidance colleagues' needs. These will focus on key messages for pupils and parents.


Budgeting:

Business Amazon account to make purchases on behalf of the Guidance team.

Supply cash/bus tickets when requested.

Offer support to colleagues and share general office tasks as appropriate.


Year Teams, Form Teachers and Cover:
Managing Form class cover and allocating staff on a daily basis. Planning ahead and reacting on the day.

Creation of the Form classes and administering documentation outlining key staff


Event planning:

Feel Good February - Making bookings and organising events around FGF such as Bob's Alpacas, Mini Zoo.

Managing pupil attendance at the events


Essential criteria:


  • Ability to form and maintain positive, professional relationships with pupils, staff and parents.
  • Empathetic and warmstrict, helping to uphold our standards and expectations.
  • Demonstrable previous experience of working in an unsupervised, administration focussed role within a busy team environment in a customerfacing office.
  • Excellent telephone manner, coupled with strong interpersonal and written/oral communication skills; communicates in a confident, clear, and concise manner at all times.
  • Ability to respond positively to pupils, parents and staff who are upset or unhappy and do so in a calming and reassuring manner.
