Clerical Officer (Allocations) University Accommodation
University residences provide accommodation to approximately 5,500 students across the university.

We are committed to providing a professional, customer focused service to a diverse range of people.- This is a full-time, 35 hours per week, open-ended post.


Starting Salary:

£22,197 per annum (with annual increment points up £24,14- Grade 3).
Package includes 32 days holiday per year plus 8 bank holidays, as well as access to a range of staff discounts.

MAIN DUTIES

  • To allocate all eligible students to university residences in line with the Allocations policy, within specified timescales, using a computerised allocations system.
  • To deal with enquiries from students / other departments regarding the availability of university residences after the start of session.
  • To keep up to date with void rooms by liaising with the Residences Managers and allocating students to vacant rooms whenever possible to ensure full occupancy of the residences.
  • To keep up to date with student withdrawals and liaise with Residences Managers to ensure only registered students occupy rooms in university residences.
  • To process Amendment Forms as appropriate.
  • To produce allocation reports for the Residences Managers / Administration Manager as required, using the computerised allocations system.
  • To deal with a range of enquires from internal and external customers in a professional manner, establishing their requirements and adapting the standard responses accordingly.
  • To attend University Open Day events and Offer Holder events, presenting information and taking part in questionandanswer sessions as required, either in person or virtual.
  • To assist with the distribution of customer surveys, produce reports / action plans.
  • To assist in the production of relevant promotional materials and information documents, particularly intranet and web pages.
  • To collaborate with others in order to make recommendations for developments of established processes and procedures.
  • To establish working relationships with key contacts to continue to maintain/improve service levels.
  • To undertake a variety of administrative duties to support the team and department.
  • To attend and actively participate in all basic training as identified in the Training Matrix.
  • To identify your personal training needs in conjunction with your manager, ensuring that learning is transferred to the workplace.
  • To actively participate in the Quality and Customer Care initiatives.
  • To abide by university policies on Health and Safety.
  • To ensure compliance with legal and regulatory requirements in respect of equality and diversity, data protection, copyright and licensing, security, financial and other University policies, procedures and codes as appropriate.
  • To work additional hours (evenings and weekends) to meet the operational requirements for allocations, arrivals and open days etc.
  • You may be asked to perform other duties occasionally which are not included above, but which will be consistent with the role.
