We are looking to recruit a full time Senior Team Administrator to provide comprehensive administrative support to the Greater Manchester Cancer core team.

You will be an integral part of our core team, supporting the GMC team to deliver cancer service improvements.


You must be proficient with word, outlook, power point and excel and have excellent written communication, multitasking and prioritising skills.

In addition, you must have good attention to detail and understand the need for diplomacy and confidentiality. It is important that when required, the post holder is able to travel across Greater Manchester. Travel costs will be reimbursed.

This is initially a 12-month fixed term contract with possibility of extension.

As a Senior Team Administrator, the post holder will work as part of a dynamic team delivering an effective service supporting the Greater Manchester Cancer (GMC) team.

The post holder will be responsible for providing organised, effective and proactive administrative support functions to the GMC team to support the delivery of the GMC strategy and improvement of cancer services.

Travel across Greater Manchester is required in this post as your role will involve providing administrative support e.g. minute taking at various board meetings.


Greater Manchester Cancer (GMC) is the cancer programme of the Health and Social Care Partnership representing the whole of Greater Manchester and Eastern Cheshire, covering a population of 3 million people.

The team at Greater Manchester Cancer deliver system wide improvements to cancer pathways and patient care with a broad focus from prevention and early detection, to research and palliative and end of life care.


ROLES AND RESPONSIBILITIES

  • Coordinate administrative and secretarial services; including for example, the preparation of agendas and minutes, taking appropriate followup action as required and undertake coordination and collation of board papers to support delivery.
  • Provide a high level, professional and confidential Personal Assistant service, covering all aspects of secretarial, administrative and organisational support.
  • Meeting scheduling and diary management.
  • Facilitate virtual meetings e.g. Microsoft Teams/Zoom/WebEx within the Office 365 platform.
  • Manage and organise responses to correspondence on behalf of senior members of the team and ensure that all are completed in a timely manner.
  • Make travel arrangements for core team members as required.
  • Order stock and nonstock team resources through appropriate trust systems and distributing delivered items.
  • Create, develop and maintain good office systems essential to the smooth running of the Greater Manchester Cancer office:
  • Manage electronic staff records (ESR).
  • Maintain uptodate personnel records for all GMC team members including personal contact details, confidential records, CV's etc.
  • Take responsibility for daytoday planning and prioritising of own workload.
Communication and support

  • Assist the Managing Director, Associate Director and other senior team members in the planning and preparation of regular board meetings for Greater Manchester Cancer.
  • Facilitate effective communication and coordination of activities between members of Greater Manchester Cancer, local, regional and national agencies.
  • Support and maintain key information on the Greater Manchester Cancer Website on behalf of the Communication and Engagement Lead.
  • Deal with a range of enquiries taking appropriate action and liaising with relevant staff.
Finance

  • Assist in the tracking of the Greater Manchester Cancer invoices and full expenditure in accordance with Trust policy and send all invoices to the finance office for prompt authorisation of monthly expenditure
  • Monitoring of stock/stationary to maintain smooth transition of business practices.
Other

  • To maintain a legal responsibility for all records (including staff health, financial, personal and administrative) gathered or used as part of your work within the organisation and comply with Data Protection Act.
  • Represent GM Cancer in a professional and positive manner
  • Producing and maintaining documentation which must be precise, accurate and produced in a timely manner and distributed to all relevant parties
  • To maintain a statutory duty of care for their own personal safety and that of others who may be affected by their acts or omissions, by cooperating with management to enable the Trust to meet its own legal duties and to report any circumstances that may compromise the health, safety and welfare of those affected by the Trust undertakings.
  • To confidentiality. This duty lasts indefinitely and will continue after you leave employment.
