12 month Secondment - Endoscopy Booking Team Supervisor

The Endoscopy Department is looking for motivated, organised individuals to join their friendly team.

The Endoscopy Booking Supervisor is a key role and is responsible for overseeing that the admission coordinators team book patients within an adequate timeframe in line with the 18 week national target, DM01 target and the cancer 2 week national target.


The post holder will be responsible for the effective administration and management of waiting list for admissions for the Endoscopy specialties.

This will involve constant liaison with the Directorates, particularly the Operational and Deputy Clinical Service manager, regarding maintenance of accurate waiting lists, admissions and waiting times on a daily basis.

The post holder will be responsible for appraisals and PDP's for the admissions coordinators within the team.

The post holder will also be responsible for the coordination of staff Annual leave and management of sick leave to secure the necessary complement of office cover at all times across the Trust.


The post holder will be responsible to assure all national targets related to the 18 week pathway and cancer 2 week pathway are achieved.

To support the Service Manager in the planning, development, provision and review of the admission services.

To represent the Service Manager at meetings in relation to admission and achieving national targets as and when required.

To attend the Endoscopy Utilisation Programme Group (EUPG) and deal with any concerns identified.

To provide cross cover for the admissions coordinator team as and when necessary.

To assure the any cancellations are validated and reported on a daily/weekly basis.


To support the delivery of a cost effective and patient focused service in line with the trust's strategic direction and service plan.


To lead on initiatives - particularly standardising patient waiting list management and Endoscopy list booking - ensuring that all admission coordinators are fully conversant and able to perform the duties required of them.


To be responsible for validating and cleansing of the weekly 18 week data provided by the Information department and ensure all potential breaches are brought forward in line with the Government targets.


Be fully efficient on EXCEL in order that weekly waiting list reports can be sorted and filtered in a format where imminent breaches are easily identifiable and dealt with immediately.


Be fully proficient on ICare and CWM booking systems to update and process waiting list additions and booking for Endoscopy.

Input and extract information via ICare as required, i.e. enter procedure date, clock stops for 18 week pathway.

To investigate data inaccuracies by referring to patient case notes and checking all patient history on ICare transactions.


To adjust/ correct patient referrals where inaccurate data entries have occurred or where patients have self deferred or failed to attend an appointment.


To understand and ensure that procedures with regard to measuring and recording waiting times are in line with the Department of Health.


To inform Specialty Service Managers of any potential breaches in good time so that suitable theatre space can be organised to accommodate patients.

To deal with all telephone calls in a courteous, efficient and tactful manner and where necessary referring to appropriate departments as necessary

Liaise with GP surgeries and other healthcare professionals on any queries.

To assure that specific care/surgery equipment requirements are escalated to the necessary teams in a timely fashion.

To monitor and ensure telephone contact is made with all patients when booking a procedure date.
