This is an exciting opportunity to join the Records Management Service.


We offer a service to both Inspire colleagues and to Nottinghamshire County Council which involves the management of paper records.

We manage the storage, retrieval, loan, review and destruction of tens of thousands of records.


The role involves the physical handling of large numbers of heavy boxes and involves delivery to sites across the county using our service transit van.

You will also support the administration of our database, Wisdom.

You should have excellent communication and interpersonal skills and the ability to work on your own initiative. A full valid driving licence is required.

The post holder will be based at Ollerton House, Sherwood Energy Village. You will also work at Glaisdale Records Centre and travel to our customers across the county.

Job Title:
Records Management Officer


Grade 3

Job Purpose
To ensure effective delivery of the Records Management Service offer to Nottinghamshire County Council and Inspire colleagues.


Key Responsibilities

  • To assist with the daily duties of Records Management Service.
  • To lift and move large volumes of heavy boxes from high shelves.
  • Deliver requests and collect boxes using the RMS van daily across Nottinghamshire.
  • To open, lock up and ensure the security of the records centre site as required.
  • To interpret and analyse information to fulfil Records Management Service requests.
  • To using and maintain the Wisdom database and to ensure the correct information is supplied.
  • To use own initiative to decide and prioritise workload to meet deadlines. The post holder is expected to liaise with all agencies independently with mínimal supervision.
  • To produce confidential records within tight deadlines ensuring accuracy and precision.
  • To despatch records to officers of the County Council and within Inspire, and to refile in correct sequence on their return
  • To carry out records management service duties to support effective and efficient customer service including user enquiries, issue, return and renewal of paper records; lifting and handling of records; including the maintenance of appropriate records.
  • The post holder will work in accordance with all Inspire policies and procedures, Inspire Brand guidelines, contractual requirements, and professional best practice.
  • The post holder will perform any duties or tasks assigned by management required to meet service needs as appropriate to the role.

Education and Knowledge Required for the role

  • GCSE (Grades A-C) Inc. English and Maths or Level 2 Diploma (1st Diploma)
  • Knowledge of Microsoft office software.

Skills and Experience

  • Experience of working with the public in customer facing roles.
  • Experience of administrative work within a corporate environment.
  • Excellent attention to detail.
  • Hold a full UK driving licence.

Role Dimensions

  • Service delivery across a large locality in a variety of Inspire and Nottinghamshire County Council buildings.
