Description

An exciting opportunity has arisen for conscientious, enthusiastic, and highly motivated Gastroenterology Cystosponge Pathway Navigator to join Gastroenterology department at Hemel Hempstead General Hospital.

The post holder will support Gastroenterology Clinical Fellow with smooth running of Cystosponge service.

This will include utilising cystosponge sessions, monitoring utilisation of outpatient Clinical Fellow clinic, contacting with patients to confirm appointment and typing or formatting clinic letters.


The post holder will work closely with the Gastroenterology consultants, Gastroenterology management team, Gastroenterology secretarial team, nurses, their immediate colleagues, and other administrative and clinical members of the Gastroenterology service.

This post is 37.5 hours per week (Monday - Friday)


The successful applicants will be providing a comprehensive and efficient Cystosponge Pathway Navigator role in Gastroenterology service and will provide the administrative responsibility for the delivery of Cystosponge service and Clinical Fellow 2WW clinics.

This will include utilising cystosponge sessions, booking outpatient clinics, monitoring clinic utilisations and tracking patients pathways.


The post holder will work collaboratively with the Assistant Divisional Manager, Assistant Service Manager, Gastroenterology management team, clinicians, Gastroenterology secretarial team, nurses and other internal and external members.


They will need to have excellent communicational, organisational and advanced IT skills and be able to work meeting deadlines and targets.

The successful applicant will provide an efficient and comprehensive administrative service including being responsible for:

  • To act as a personal secretary to Clinical Fellow, supporting with smooth running of Cystosponge session, and daily prioritising workload.
  • Correctly formatting and posting clinic letters produced by the Clinical Fellow. Typing ability is required as consultants will ask for letters to be typed from dictation. These letters can often contain important clinical information and so should be actioned in a timely manner.
  • Booking outpatient appointments and keeping them apprised of time, date and location when required.
  • Contacting patients booked into gastroenterology outpatient clinics and confirm attendance to make sure clinics are fully utilised and DNA/cancellation rate its minimised.
  • Booking virtual appointments for Clinical Fellow to review patient test results, providing all the relevant information.
  • Checking Cystosponge sessions and Clinical Fellow clinics in advance to make sure there are no appointment slot clashes, and rearranging appointments for any appointment conflicts that are found.
  • Liaising with the Gastroenterology Outpatient Pathway Navigator on patient vetting, making sure all patients referred by GP and other departments are triaged and followed up with an appointment/test, or communicated to the referring clinician if an appointment is not necessary.
  • Liaising with the Pathology service relates to Cystosponge service including transport booking.
  • Cancelling Cystosponge session and Clinical Fellows clinics when on annual leave, and using the relevant process to see that displaced patients are given a new clinic appointment.
  • Taking and making calls to patients on a daily basis. These can sometimes be distressing and emotional circumstances, so a sympathetic phone manner is required.
  • Liaising with other members of the West Herts team, as well as colleagues from other hospitals and GP practices.
  • Filing, photocopying, sorting post and other general office secretarial activities.
  • Assisting with other secretaries' workload when required.
  • Supporting Gastroenterology secretarial service and endoscopy booking team when required
  • Liaise with other Secretaries, Wards, Clinic Clerks and other departments to help ensure a smooth and efficient running of the service
  • Filing, photocopying, sorting post and other general office duties.
  • Be responsible for validation of historic referrals on ereferral system to make sure all referrals are action in timely manner.
  • Assisting with other administrative workload when required.
  • Any other ad hoc duties as may be requested by your Manager/Consultant
