Imports & Manufacturing Customer Service Administrator

What you'll do

Customer Service Duties


  • Answer telephones/telecom, direct calls/deliveries and take messages.
  • Cover for Customer Services Team during absence.
  • Keep customers up to date with order progress.
Import Administration Duties


  • Liaise with overseas factory to answer queries and check progress on production of orders.
  • Check stock levels and create production and purchase order to replenish stock.
  • Keep order schedule up to date with new order and changes in completion dates.
  • Liaise with shipping company to arrange shipment from overseas factory.
  • Generate Commercial Invoice when required.
  • Receive in and invoice Import orders.
  • Generate Work Orders and Shipment Notes when goods arrive in the warehouse.
  • Request and generate quotations for customer requirements.
  • Maintain and update filing.
Manufacturing Administration Duties


  • Update Production Schedule weekly.
  • Liaise with all departments to ensure orders are still on target for their completion dates.
  • Send bi-weekly updates to customers on the progress of their orders.
  • Assist in the release and shipment of production orders.
  • Liaise with customers regarding queries on their orders and chase feedback on samples they have received.
Experience you need


System Training Required:

  • Microsoft Business Central
  • Microsoft Outlook, Word and Excel
  • Google Sheets

Skills Required:

  • Excellent organisational skills.
  • Excellent Communication skills both verbally and in writing.
  • Work well with others and able to quickly build effective relationships with all levels both internally and externally. Treats others with dignity and respect.
  • High level of attention to detail.
  • Customer Focus understands customer behaviour and strives to exceed customer expectations.
  • Developing self and others keen to learn and develop new skills. Supports others with their learning and development.
