Job Purpose:


The IG business support administrator will work closely with the IG Compliance Officer and IG Officer, to provide an efficient and effective administrative service to IG Team.

The post holder will need to have the ability to work independently as well as within a team. They will need to use their initiative and make informed decisions in order to deputise for the Business Support Officer's absence

The post holder will be highly organised, have excellent written and verbal communication skills and will bring a strong customer service approach to their role


Key duties include:


Act the first point of contact for advice regarding Information Governance services, within the Trust and also for members of the public.

Implement policy and procedural changes relevant to own role.

Provide administrative support to the team including managing diaries, arranging meetings and taking minutes as required.


The Information Governance Officer is an essential part of the Information Governance Department and supports the Deputy Head of Information Governance in delivering a high-quality service to all customers and stakeholders.

Act as a point of contact within the Trust for Information Governance services:
Monitor the generic team mailboxes, triage all incoming enquiries, respond where possible or escalate as appropriate


To deal with/signpost specialist enquiries in a helpful and diplomatic manner, maintaining confidentiality as appropriate and referring on to the IG Officer or IG Compliance Officer if needed.

To review, improve, update and implement administrative systems in consultation with the team. Demonstrate excellent communication and interpersonal skills, including the ability to exercise diplomacy and a good telephone manner.

Specific Responsibilities

Work within and review internal procedures and Trust-wide policies as required:
Provide administrative support in logging and managing IG incidents.

To report to the IG Managers any concerns that arise.

Assist the Deputy Head of IG and IG Officer to compile the monthly IG Board report, by gathering weekly reportable data (FOI/SAR/IG incidents)

To ensure accurate data reporting to ensure that IG performance indicators are achieved.

To participate in the development and up-dating of standard operating procedures (SOP's) for all administrative processes.

To participate in audits and quality improvement projects when required.


Records Management:

Provide administrative support for the records management portal (EDM online)


Communications:

Ensure that the IG pages on the Trust intranet and public-facing website are kept up to date


Provide administrative support to the team:
Provision of general administrative and clerical support to the Department

Minuting meetings, including Information Governance Board, Care Records Group, and IG Team meetings

Be responsible for the co-ordination of admini
