Our client is a leading European organisation
with multiple operations across Europe, selling their products to countries worldwide. Whilst their headquarters are in France, the company CEO resides in Berkshire UK
Reporting directly to the CEO, the Personal Assistant provides executive support in a one
- to
- one working relationship. The successful applicant will serve as the primary point of contact for organizing and coordinating administrative tasks for the CEO with occasional special project work.
We are looking to engage with experienced high-level, one-to-one PAs, who are creative-thinkers and enjoy working in a mission and results driven business.
The ability to exercise good judgement in a variety of situations, with strong written and verbal communication, administrative, and organisational skills, and the ability to maintain a realistic balance among priorities, are all a must.
You will work independently and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
This person will work in close collaboration with the CEO and have contact with other group management team members and cluster / country PA's.
Key responsibilities:
- Analysing and reading incoming memos, submissions and distributing them as necessary
- Preparing documents to be reviewed and presented by either the CEO or the board of directors, executives and other committees.
- Assisting with meeting preparation and presentations and recording meeting times when required.
- Performing basic accounting tasks and booking travel for the CEO
- Keeping records of corporate documents, records and reports
- Providing reports for CEO or senior management as required/advised.
- Undertaking any other appropriate duties as required to support the Chief Executive Officer to enable them to fulfil their role.
- Carrying out all the duties with complete discretion and a high regard for confidentiality
- Making appointments on behalf of the CEO when required, supporting with organizing their daily schedule.
- Adding all travel arrangements to outlook calendar.
- Manage CEO diary and group calendar (executive meetings, senior leader meetings etc)
- Travel and expense management with monthly submission for the CEO to the UK accounts department.
- Taking minutes if required by the CEO.
- Being very proactive and detail oriented.
- Occasional sourcing and booking of venues and accommodation for Management team for CEO meetings.
Key skills and experience:
- Strong and Fluent command of the English langage.
- Trustworthy with a high focus on confidentiality.
- Office 365 including PowerPoint skills
- Working knowledge of standard Word processing, spreadsheets, Excel and other productivity software tools.
- Autonomous working.
- Highly organised with strong attention to detail.
- Flexible with working hours.
- Clear, strong communication skills.
- Discretion and tact.
Job Types:
Part-time, Permanent
Part-time hours: 12 per week
Salary:
£18.00-£20.00 per hour
Expected hours: 12 per week
