Our client who are an exceptional award-winning law firm based in London, are keen to hire a Legal Executive Assistant to provide administrative and secretarial support to the Capital Markets, Employment, and Immigration departments to enable optimum efficiency.

The successful applicant will be working closely with Partners and Senior Fee Earners.


Main Duties and Responsibilities:


  • Administrative tasks such as preparing engagement letters, file opening and closing, coordinating knowyourclient, antimoney laundering and other compliance arrangements.
  • Working with the US conflicts department on checks, as needed
  • File and document management on transactions.
  • Drafting, amending and formation complex transaction documents such as, but not limited to, completion deliverables.
  • Supporting the billing process
  • Preparation of final hearing bundles and completion bibles (hard copy and electronically)
  • Involvement in returning client monies.
  • Taking meeting minutes
  • Client annual general meeting support, including arranging meeting rooms and catering.
  • Company secretarial services provided to clients (dealing with and forwarding on client post)
  • Diary management
  • Reception lunch cover once a week as part of a roster
  • Booking and arranging meetings, travel and preparing itineraries
  • Attending to clients both in person and on the telephone and providing such support in a professional and friendly manner in keeping with the Firm's standards for client care
  • Submitting fee earner expense forms
  • Involvement in marketing activities and providing support for events.
  • Trouble shooting minor IT problems.
  • Sorting/distributing mail after partner review.
  • Coordination of holidays and absences
  • Organising social outings from time to time

About You:


  • At least three years' recent legal secretary experience in private practice, preferably with some exposure to at least one of Capital Markets, Employment, or Immigration
  • Knowledge of document and practice management systems, including opening and closing new matters and filing
  • A minimum typing speed of 65 words per minute with 90% accuracy
  • The ability to prepare completion bundles.
  • Good knowledge of legal and other compliance as it relates to the role.
  • Experience in Companies House filings.
  • Advanced Word and Outlook, and Intermediate Excel and PowerPoint skills (preferably Office 365)
  • Excellent verbal and written (including spelling) communication skills; English at native speaker standard.
  • Excellent timekeeping.

  • Four days office and one day from home firm wide policy and nonnegotiable.

Salary:
£36,000.00-£40,000.00 per year
