ELECTIVE ADMISSIONS ADMINISTRATOR
Fixed Term for approximately 12 Months
37.5 HOURS PER WEEK MONDAY - FRIDAY
We require an Elective Admissions Administrator to assist the Elective Admissions Manager in administering the centralised waiting lists.
To also provide appropriate administration cover to other areas within the Elective Admissions Department, Pre op Assessment and Endoscopy Administration Office
Applicants must be able to demonstrate excellent communication and organisational skills, be able work on own initiative. OCR Level 2 Word processing, NVQ Level 2 in Business Administration or Equivalent essential.
To assist the Elective Admissions Manager in administering Elective Waiting Lists in conjunction with all Clinicians and Managers.
To co-ordinate Inpatient waiting lists in an efficient and effective manner, ensuring that patient's waiting list information is properly and accurately maintained and that patients on the lists are allocated admission dates within the Trust's waiting time standards, and in line with the Trusts Elective Access Policy.

DUTIES AND RESPONSIBILITIES
MAINTENANCE OF WAITING LISTS
Responsible for ensuring appropriate booking processes are utilised to facilitate the admission of patients
Responsible for maintaining the Patient Administration System and maintaining the computerised waiting list by adding, removing and suspending patients to and from the relevant waiting lists where accuracy is essential
Ensure patients found to be unfit for surgery are correctly managed in conjunction with clinicians and preoperative assessment staff and in line with Trust Policies
Where required, validate waiting lists as requested
Ensure that waiting lists are managed in line with Trust and National targets
WORKING RELATIONSHIPS
Help patients, relatives and colleagues by dealing with telephone and face to face enquiries in a constructive and sympathetic manner, tact may be required for situations where it is necessary to communicate unwelcome information.
Protect patients' privacy by ensuring all data and information relating to patients does not pass to unauthorised individuals or organisations by making every effort to ensure that it is always held in the strictest of confidence.
ALLOCATING ADMISSION DATES
Analysis of Patient Tracking List (PLT) and PAS generate waiting lists to identify patients and liaise closely with clinicians to allocate 'to come in (TCI) date' for patients, ensuring that patients are selected according to clinical priority and then by length of wait
Ensure any potential waiting list breaches in line with trust and national targets are brought to the attention of the relevant Consultant and the Elective Admissions Office Manager in a timely manner
When assigning TCI dates, proactively work to ensure maximum utilisation of sessions
Ensure patients who DNA (Do Not Attend) are correctly managed in conjunction with clinicians and in line with Trust Policies
Collation and circulation of TCI Lists for admissions to appropriate departments
To be responsible for the production of theatre & endoscopy lists ensuring all relevant information is recorded and documented accurately including up-dating alterations and delivering in a timely manner ensuring the relevant teams are informed of the list requirements
ARRANGING FOR PATIENTS TO COME IN FOR SURGERY / PROCEDURES
Contact patients to offer TCI dates and ensure relevant documentation is forwarded to patients in line with the booking guidelines for fast track/ urgent or routine cases
Provide basic clinical advice in relation to starving instructions
Liaise with the Pre op Assessment to ensure that patients are booked into a pre op assessment clinic where applicable
Close liaison with clinical and or admin staff to ensure that any cancelled operations are rebooked and are in keeping with the 28 day rule
OTHER
Contribute to the effective and efficient running of the department by:
- Assisting administrative colleagues as and when possible.
- Performing tasks specific to the area
- Working on own initiative and planning and prioritising own workload.
- Provide other administrative services such as; filing, photocopying, typing, sending/ opening mail
- Demonstrating duties to new starters from time to time when needed
