Administrator, Band 3Permanent, part time hours per week
We are looking to recruit a competent, enthusiastic, and well organised administrator to join the Older People's Mental Health Liaison Team.
To provide an integrated and comprehensive administration and secretarial role supporting the multi-disciplinary team including medics, managers and clinicians within a busy Mental Health Unit.

Excellent communication skills as well as sound administrative and IT skills are essential. Previous NHS experience is desirable, but training will be provided. You must be able to demonstrate sensitivity and tact when dealing with confidential information.
You will need to have experience of Microsoft office and all programs.
Minute taking is an essential part of this role and therefore some experience in taking minutes is desirable.
- Undertaking word processing support for the provision of required reports, letters, summaries, data inputting etc. within the set standards.
- Using Hybrid Mail, ensure correspondence to GPs is sent in a timely fashion.
- Using RiO (electronic system) to record and retrieve information on both service users and caseload holders.
- Implement and maintain effective filing systems, ensuring that service user records are kept safe, confidential, up to date and accessible.
- Using other Oxleas systems for example
- Healthroster to monitor rotas, Cardea for procurement and the IT helpdesk for any computer issues.
- Respond to incoming calls and deal with enquiries in accordance with management procedures. Record all messages accurately ensuring appropriate action is taken and messages passed to the relevant discipline/clinician. Use initiative in finding appropriate clinician for advice if required staff member is absent.
- Implementing and maintaining effective communication systems within the team, acute Inpatient staff, GPs, other outside agencies and service users.
- Distribute/disseminate post as necessary.
- Undertake retrieval (via Windip) of electronic clinical files that have been archived.
- Be able to negotiate Icare.
- Processing of Data Protection enquiries, liaising with both service users and clinicians to ensure that all necessary information is provided in an efficient and timely manner.
- Provide assistance to clinicians in troubleshooting computer issues.
- Arranging meetings, room bookings and minute taking.
- Participate and support any audits being undertaken in the unit, working with corporate colleagues and the Directorate Business Office as required.
- Scanning incoming correspondence and reports.
- Providing cover for other admin staff during periods of leave, sickness or to alleviate workload of colleague as necessary, this could be in other areas.
- Reporting of maintenance issues, following up and escalating if needed.
- Inputting new referrals for the team.
