An exciting opportunity has arisen for an Apprentice Clerical Officer to join the Audiology Department.

We are looking for someone who has a "can do" attitude, is willing to learn and has a passion to want to make a difference in the work that they do.


You will need to be able to work in a calm, logical and methodical way but be able to multi-task whilst dealing with frequent interruptions and you must possess effective communication skills.

This role provides an excellent introduction to working in a busy NHS environment.


As an Apprentice Clerical Officer, you will be supported to develop the knowledge and skills required for someone taking the first steps into this career.

Working with an experienced administration team, you will have an allocated mentor and receive regular support and supervision throughout. You will be given clear learning objectives for your role.

In addition, you will undertake a Level 2 Customer Service Apprenticeship that will enable you to develop significant skills over the year:
not just in your role, but in areas that will help you perform effectively in the workplace overall.

You will be required to complete an end point assessment to pass the apprenticeship. You will be allocated time to complete off the job learning.


The starting salary for this role is National Minimum Wage for Age, once the Apprenticeship has been completed, the salary will increase to a Band 2 salary.


  • To receive patients at reception and ensure that all patient demographic details are up to date.
  • Receive and process telephone messages in accordance with protocols
  • To action departmental post in a timely manner.
  • Deal with enquiries from the general public and other disciplines of staff regarding clinic bookings.
  • Display a professional attitude at all times when dealing with the general public and colleagues alike
  • To schedule patients' appointments that are attending the Audiology department, allocating them to the appropriate member of staff and clinic.
  • Processing new referral letters by creating a patient file on electronic patient management system, sending an appropriate letter to the patient, adding to a waiting list or redirecting to other agencies
  • Process returned ear moulds by completing the necessary paperwork and distributing to relevant staff and departments
  • To book new and followup appointments in accordance with Audiology protocols.

On-Call


Please note that senior positions (AFC band 8A or above) may be expected to participate in an on-call rota, if the role is predominantly operational.


  • Provide administration support to the AudiologyDepartment.
  • Inputting and extracting information to and from computer based records.
  • Access other IT databases for previous involvement and obtaining information as necessary, liaising with Trust staff and other parties as necessary.
  • Liaise with IT and other departments as necessary.
  • Act as first point of contact for all communications to the department and deal with all such communications appropriately, including sensitive issues.
  • Deal with enquiries from Trust staff, service users, patients and their relatives, outside organisations and the public. Both face to face and by telephone.
  • Clerical duties within the department include typing, filing, processing incoming and outgoing mail redirecting as required, photocopying etc.
  • Order replacement photocopier and computer hardware as appropriate.
  • Provide cover for colleagues in periods of absence.
  • Attending meetings as appropriate.
  • Attend and participate in all training opportunities where relevant.
  • Maintain the workplace in accordance with the Health and Safety at Work Act and comply at all times with the Trust policies and procedures.
  • Any other tasks as requested by Line Manager / IDT Manager or Service Manager.
