Description

The post holder will be responsible for the provision of comprehensive and efficient secretarial services across the Children, Young People (CYP) and Families Service Group.

They will be a key member of the team covering administrative and secretarial services for the Service Group Triumvirate.

The post holder will also be Personal Assistant to two Associate Medical Directors and the Service Group Director for CYP and Families.

This will include diary management and correspondence.


Part of the duties is to provide comprehensive cover across the wider Service Group administration team as well as covering members of staff during absences.

The post holder will also provide an administrative service to include dealing with correspondence, diary, and document management for members of the CYP and Families Service Group.


The post holder will act as an ambassador for the Service Group, exercising initiative in responding to requests for information or requiring action.

Communication and Key Working Relationships

  • Senior members of the CYP and Families Service Group including and not limited to:
  • Service Group Director Associate Medical Director
  • Associate Director of Patient Care
  • Head of Women's & Sexual Health Services
  • Head of Community CYP, Acute Paediatrics & CAMHS
  • Director of Maternity Services
  • Head of Midwifery
  • Matron


Manages the diaries and acts as PA to the Service Director and the two Associate Medical Directors, co-ordinating appointments, organising meetings and liaising with all relevant parties in an efficient and effective way.


  • Will be a point of contact for key staff in teams across the Service Group, circulating communications promptly.
  • Maintains strict confidentiality relating to the Service Group at all times.
  • Responds positively and professionally to enquiries. Deals with routine enquiries and takes appropriate action. Acts with discretion at all times to take and record accurate messages, redirecting queries where appropriate.
  • Communicates complex and highly sensitive information which may relate to staff, patients, and relatives, within and outside the organisation
