ACS International Schools is looking for a HR Administrator to join the HR team covering our Hillingdon and Egham Campuses.

The role provides HR administration support to UK managers and staff and ensures ACS is compliant with UK employment and ISI regulations.

The role supports day to day delivery of HR processes and administration.


PRINCIPAL ACCOUNTABILITIES

Compliance:

  • Ensures the accurate and timely updating of the HR information system (iTrent) and the Single Central Register (SCR), including all changes of employee personal information, salary changes, benefits, etc.
  • Processes and monitors security clearance checks including Disclosure & Barring Service (DBS) checks, international overseas police checks, reference checks and documentation ensuring accuracy and compliance.
  • Ensures internal compliance with all HR policies and procedures.
  • Ensures company compliance with all employment law legislative requirements (e.g. 'right to work in the UK', DBS checks, Data Protection, ISI data and inspections, etc.).

Payroll & Benefits:

  • Ensures efficient, accurate and timely administration of the monthly UK payroll
  • Ensures daytoday pension and benefit administration is processed.
  • Joiners, Leavers and other

HR Administration:

  • Prepares and issues offer letters and employment paperwork.
  • Manages the leaver process including updating iTrent and archiving files.
  • Processes home leave and relocation claims.
  • Ensures files are always kept up to date and reflects the SCR information.

Recruitment and Induction:

  • Provides assistance to ensure the smooth running and effectiveness of local recruitment.
  • Attends recruitment fairs as necessary and acts as ambassador in encouraging applicants to work for ACS.
  • Assists in the induction of new staff, completing all necessary paperwork and processes to ensure a smooth transition into the Schools or Business Support Functions.

Operational Support:

  • Supports the HR Administrators and HR Operations Manager with iTrent HR Systems queries and HR reports via iTrent and Business Objects.
  • Supports employee relations matters as required, e.g. disciplinary and grievance issues and is a note taker for formal meetings
  • Works with the wider HR team and helps ensure that the annual pay review is administered effectively. Deals with ad hoc enquiries from managers and staff effectively and efficiently using the most appropriate communication method.
  • Plans and organises workload, ensuring prioritisation of key activities and deliverables as agreed with the Senior HR Administrator and the HR Administrators.
  • Supports HR colleagues as required during absences, holidays, or workload peaks. Any other duties as reasonably requested by the HR Operations Manager, Senior HR Administrator and HR Administrators.
  • Looks for opportunities to continually improve HR practices and administration and presents appropriate suggestions/solutions to the HR Operations Manager.
  • Keeps abreast of changes in employment legislation and practises.
  • Actively participates in HR events and team meetings.

  • Able to work autonomously when required but also collaboratively across the HR Team.

Professional Experience:

  • Experience of working in an administration role and/ or support function in a multifunctional, customer focused environment.
  • Previous experience working in a busy HR team in the education or a similar sector and with iTrent HR system would be advantageous.
  • CIPD qualified/partqualified or equivalent is desirable but not essential.
  • Good knowledge of employment law is desirable.
These roles are permanent and full time based between our Egham and Hillingdon Campuses. This will require regular travel between both schools and also occasional travel to our Cobham Campus.
