The Role
Working as part of our Experience and Development Team to provide administrative support for a new customer contract.


The Experience and Development Team (EDT) is a dedicated service team designed to support our customers and colleagues; whether that's through customer care, administration or training and development plans.


You will be providing administrative support primarily for a large contract of ours, working closely with the operational teams to ensure we maintain high administrative standards.

This role will coordinate the back-office work to ensure autonomy of process for the customer, including minute taking or tracking of key activities, to always enable the smooth running of the contract.


To succeed in this role you will enjoy working within a fast-paced environment, be very organised and methodical in all approaches, and capable of ensuring compliance with business procedures are followed.


Key Duties

  • Extract KPI reporting in a timely manner ensuring they are available as per the customer requirements.
  • Ensure that all thirdparty facilities management service tickets for callouts are correctly recorded on our service management system and the Contracts Manager is aware. Once works are completed ensure that all appropriate systems are updated.
  • Record any contract penalties and SLA breaches to ensure that invoicing is an easy process.
  • Track works completed.
  • Update our CRM system with key information on contract activity, ensuring it is always uptodate.
  • Produce process maps for the role, so that business continuity can be established.
  • Timely and effectively process purchase orders, ensuring accuracy of records and best value is achieved through a managed supply chain. Ensure that all purchase records/orders/reports and related data for management accounting purposes are maintained.
  • Ensure that all quotations are produced in a professional and timely manner and records are updated.
  • Provide support as required in the processing of insurance claims and reports.
  • Ensure that operational records and documents are stored and used effectively, specifically with reference to: health and safety, machinery and equipment, vehicles and contracts.
  • Aid the Contracts Managers in matters of business continuity.

What we need from you

  • Experience of working in a busy and commercial environment
  • Experience of working across multiple functions / businesses. A key part of the role is to work with multiple stakeholders internally and externally so a strong ability to 'juggle' and tailor approaches is ideal
  • Strong administration experience working in a call centre
  • Experienced in providing outstanding customer service
  • Attention to detail with particular focus on reporting, quality of accurate information and ability to proofread documents before submission
  • Ability to attend meetings, in person or virtually, to effectively take minutes, record these in Word or Excel and share them once completed with the relevant stakeholders. A structured approach and mindset are important for this task
