The Records Management Service at the Royal Cornwall Hospital, Truro is looking to appoint members of staff to work within the team that supports the management of patient health records o The department is currently in the process of transitioning from a paper-based record to a scanned record and the job will involve day to day duties with regards to records storage, requests and scanning.


This can be a strenuous and sometimes physically demanding role, requiring upper body strength to move and handle patient records, sometimes climbing ladders up to 2 metres high and moving and handling bags weighing up to 10kg.

This role may not be suitable for those with physical health conditions that would prevent them from being able to safely complete such tasks, as reasonable adjustments cannot be made to fixed metal racking.


You will need to be accurate and numerate and used to achieving and sustaining deadlines whilst working with minimum supervision and be able to read hand-written or electronic documents displayed on a computer screen.


Working in a team, duties may include retrieving case notes within the Health Records Library or off-site storage areas as well as health locations across Cornwall so it is important that you are able to commute without the need for public transport.

You will be using an electronic tracking system and other clinical systems as required, preparing case notes to support patient care in both the Outpatient/Inpatient areas whilst working in a safe and considerate manner.

You will be required to work in the scanning area of the department where records are prepared to be sent off for scanning and then conducting a quality assurance check afterwards.

Flexibility and reliability is of extreme importance, as you may be required to cover absence.

Up to full-time hours available, times of shift may be flexible to fit in with you.

To manually store and process paper light health records including mental health records and inpatient/outpatient records from the all hospitals.


To retrieve upon request, patient records, and prepare them for onward transportation to the Scanning Partner, using Box Preparer software which will include appropriate tracking methods.


To work on own initiative, although under supervision, to prioritise and manage the administrative workload and manage the production of documentation needed as part of the scanning process.

To participate in the quality assurance programme of scanned images.

To manage day forward scanning, loose filing and un-scannable records appropriately.

To ensure records are stored in a secure environment and patient confidentiality is maintained at all times.

To appraise records in preparation for either archive or destruction.
