About the role

Balfour Beatty have an exciting opportunity for a Fleet Administration Supervisor to join our Asset and Technology Solutions Team in Derby.


The Administration Supervisor will be required to support and co-ordinate the fleet administration team and ensure that the business' administration requirements are met, ensuring that BBUK's P11D data is correct.


What you'll be doing

The Fleet Administration Supervisor will:

  • Ensure that the monthly Core invoicing/Workshop Jobs/External hire revenue is transacted on a monthly basis.
  • BBUK driver's vehicle allocations are updated from the annual p11d submission across both Core/External hires including RTA damage replacements > 30 days and Capital Contributions.
  • Monthly meetings with Employee Services to run through any service issues with Fleet in general.
  • Weekly fleet lists/reconciliation with BBUK businesses.
  • Monthly fines recovery for both Core/Externally hired vehicles to Employee Services for payroll recovery.
  • Monthly At Fault Damage claims reconciliation for Employee Services payroll recovery.
  • Monthly Core hire vehicle noninsurable damage reconciliation/recovery
  • Oversee daily duties of employees to ensure that quality standards are being met and proper procedures are being followed.
  • Give guidance to employees in handling errors, problems, complaints and/or disputes.
  • Performance analyses of employees.
  • Coordinate work schedules and duty assignments.
  • Interpret and explain work procedures and policies to staff.
  • Review records and reports relevant to payroll, production and other workplace activities for monitoring employee activities and evaluating performance.
  • Work with other supervisors to coordinate workplace activities with other departments, units or teams.
  • Implement company or departmental policies, procedures and quality/service standards.
  • General support into the business for systems/Excel.

The role requires a substantial understanding of the BBATS business, its processes, organisation and customer relationships.

The success of the role depends upon strong and collaborative relationships across the BBATS business and the related customer hierarchy.


Such is the level of activity; deadlines are demanding and the post holder will need to constantly seek to improve their own knowledge and performance.


The Fleet Administration Supervisor will need to be focussed and thorough and have the gravitas and professional credibility to advise senior management when something needs immediate redress together with the tenacity and drive to ensure that the necessary action is taken.

Fleet Administration Supervisor will be data driven, with a high level of accuracy.
