Minute taking skills and experience are essential for this role A Correspondence Officer is required to organise, develop and maintain an efficient and effective correspondence handling system for the Office of the Police and Crime Commissioner. To act as the first point of call for members of the public contacting the OPCC and also to provide a confidential and effective casework and administrative support service to the PCC and wider office.


Key responsibilities:

  • Organise, develop and maintain an efficient and effective correspondence handling system for the OPCC.
  • Provide written and oral briefings to the Head of Private Office to keep them updated on key internal, external, local or national correspondence issues that may impact on the daily function of the OPCC ensuring that all relevant items of correspondence are recoverable and can be passed to the Commissioner for appropriate decisions and/or action thus enabling them to carry out their function(s) effectively.
  • Plan, organise, formulate and provide nonbureaucratic, high quality, detailed and succinct draft replies to correspondence.
  • Deal with complaints in accordance with legislation and PCC statutory responsibilities, ensuring that the OPCC are responding to all matters within its jurisdiction, ensuring that draft replies are submitted to the Chief Executive or PCC for consideration adhering to timescales and referring other matters to the Force or other agencies.
  • Arrange, attend, and record the contents of meetings, ensuring that records of the meeting detail any outstanding actions, risks, and issues, alongside good practice where this is identified and manage and arrange the ICV and AWS annual networking event.
  • Ensure that volunteers are suitably trained to complete their role through induction training and continual professional development. The post holder will arrange training events for those new to the scheme.
  • Complete written progress reports as required including for the PCC's Annual Report, Police and Crime Panel Reports, Key Decision Papers, and other reports as necessary or as directed by the PCC.

Experience:


  • Experience of dealing with a variety of correspondence and complaints within a statutory or public sector organisation.
  • Ideally have worked within a customerfocused environment and
- understand the risk of reputational damage to the PCC if correspondence and complaints are not dealt with appropriately.


Skills:


  • Problemsolving skills, as well as clear knowledge of the concepts and principles underlying strategic analysis.
  • Excellent organisational skills and political acumen to identify when a matter is sensitive or requires immediate attention.
  • A high degree of communication skills both verbal and written with an ability to understand issues of sensitivity and confidentiality when dealing with internal and external customers.
  • A proficiency of various I.T packages including Microsoft Word, Excel and Outlook, the post holder will have the ability to produce high quality documents for the attention of the PCC and wider teams within the PCC office.
  • Ability to research and assimilate information and data in order to provide the PCC with information in a condensed format.
  • Forward thinking, selfmotivated and able to work with the minimum of supervision, capable of using their own initiative to plan and organise their workload.
  • Minute taking skills and experience are essential for this role.
