University Hospitals Coventry & Warwickshire NHS Trust's People Development team is looking to recruit an administration specialist to fulfil an essential role in the running of our in-house management & leadership programmes, 'UHCW Leader' & "Step Into Management".

UHCW deliver the programmes in partnership with NHS Elect, at University Hospital and Warwick University venues.

The main purpose of this role is to provide a specialised and comprehensive administration service to the management & leadership programmes, whilst also contributing to its ongoing development.


The post holder will be responsible for:

  • management of communications with delegates, programme facilitators and Chief Officers and coordinating logistics
- leading on the preparation and set-up of events, ordering and producing resources
- maintaining course records
- contributing to programme evaluation and reports through survey design, data collection and analysis


We are looking to appoint an individual with existing administrative skills and experience of working in a customer facing role, with excellent communication skills and a thorough working knowledge of Microsoft Office IT packages, who is keen to support the leadership programme.

Ability to travel to off-site training venues is preferred, although not essential.


Hours of work will be within the core office hours of 8.00am-5.00pm, working a maximum of 7.5 hours a day Monday to Friday, based at University Hospital, Coventry.

To act as a senior point of contact to ensure all enquiries are effectively managed and successfully resolved within a prompt timescale, ensuring all relevant personnel are informed as necessary and an appropriate record is maintained

This will require:

effective collaboration with all relevant personnel to maintain an efficient administrative system; prompt transcription, manipulation and distribution of appropriate correspondence.

To continually contribute to patient and business improvement Agendas


This will require:

undertaking any project work as directed, including obtaining information from the Internet, collation and reporting of data in order to produce reports and spreadsheets, utilising relevant Trust IT systems, as determined by the role, ensuring all relevant data is collected and input accurately in line with Trust guidelines.

These systems may include PMS (iPm from June 2007), CRRS, Opera, CRIS, Ultra, Respond, IMPAC etc. Share ideas for potential service improvement.

To implement and maintain an efficient office management system/procedures to enable the Department to optimise their standards of service.


This will require:

effective time management, managing schedules and leave arrangements ensuring appropriate and timely communications with all relevant personnel; arranging meetings/events; composing and transcribing minutes proactively ensuring action points are raised and completed; preparation of correspondence and reports; effective management of the office by establishing and maintaining efficient manual and electronic correspondence and documentation management systems; ensuring office equipment and stationery is maintained and processing orders as required.

demonstrating and explaining Departmental practices and procedures; undertaking appropriate training and development with new and existing staff ensuring high standards of practice are maintained at all times; providing cross-cover on a recip
