This is an exciting opportunity for a highly motivated and enthusiastic individual to join the Cardiology Secretarial Team.


We are seeking an enthusiastic, motivated person for this newly created post, who can offer excellent administration skills to assist in the provision of a comprehensive service.

To be successful you will have excellent organisational and communication skills.

You will have a flexible and professional approach to the work and enjoy the variety of communicating with a wide range of people both internal and external to the Trust.

This includes being the first point of contact for all forms of communication within the clinical team, ensuring the effective day to day running of the clinical practice and providing diary management and workload organisation for the consultants and their teams and providing cover for colleagues as necessary.

The vacancy is full time working 37.5 hours a week. There will be an element of remote working as well as on-site requirements.

Take and process telephone calls in an appropriate manner. Telephone calls will involve contact with patients, carers and health professionals and may involve the provision of non-clinical advice.


To provide comprehensive secretarial and administrative support to clinical staff using a range of secretarial procedures in accordance with the processes.

To contribute to the effective delivery of patient care, through knowledge of consultant practice and hospital systems.


To be flexible to provide cover for colleagues, as necessary for other Medical Secretaries in period of absences as directed by the Clinical Admin Lead.

General correspondence, e.g.

discharge summaries, reports and other communication by use of advanced keyboard skills either using audio typing techniques or other digital formats as directed by the Clinical Admin Lead, utilising the ability to accurately transcribe dictation, understanding the context and re-arranging as necessary.

Correspondence may be of a distressing nature.


Obtain hospital case notes and other documentation from both within the Trust and outside Trusts when required (ensuring case notes and documents are tracered accurately using PAS at all times and returned to Health Records in a timely manner).

Regularly utilise Trust Information Systems such as Maxims for the creation of correspondence, reports, and other documents.

Sustainability is integral to the Trust achieving the NHS Net Zero target. All staff are therefore actively encouraged and supported to implement new ways of working within their field of expertise.

Winscribe (Digital Dictation) is used in Cardiology for the creation of most clinical letters.


Develop a thorough knowledge and understanding of the Patient Administration System (PAS) and Case note Management and ensuring case notes are maintained in accordance with the Trust's Case Note Management Policy.

Data quality check the outcomes of clinic annotations altering PAS to reflect the relevant clinical notes


Bring to the attention of the clinical staff all results in a timely manner and promptly act on any instructions given regarding these.

Ensure a good working knowledge is maintained of RTT rules and guidance.
