The Acute Paediatrics Diabetes & Senior Nursing Team are looking for a bright, talented, and dynamic individual to fill the Administration post working alongside their teams.

We are committed to high quality service delivery and development and improving the patient's experience. You should have previous experience in this area, which you would be able to clearly demonstrate.


The environment is dynamic, fast paced and challenging and you will require a high attention to detail as well as being able to work under pressure.

Being able to think innovatively and communicate effectively with a wide range of departments, teams and agencies is essential.

Being responsible for the day to day management of all administrative tasks for the Diabetes & Senior Nursing Team.


To provide a high quality, helpful and courteous response for members of the public, service users and representatives of other departments or agencies by telephone, showing sensitivity to their feelings and respecting their wishes wherever possible.

To communicate effectively with callers, managing expectations and ensuring patients are happy with the responses they receive.


Undertake administrative tasks with exceptional attention to detail, for example, management of Associate director of Nursing's diary, scheduling appointment, booking rooms, arranging meetings.

Access IT system, NHS Mail and follow the Trust message taking policy.

The post holder is responsible for ensuring that basic and essential services are met at all times.

As such, the post holder will be expected to undertake clerical and administrative duties as part of the team where appropriate to ensure service delivery.

They will ensure the work of the department is carried out to the required high standards of accuracy with a focus on the delivery of high quality customer care.

Administrative Support

Good clerical skills such as retrieving information and recording data on a computer system.

Undertake administrative tasks with exceptional attention to detail, for example, management of AdoN's diary, scheduling appointment, booking room/meetings

Take accurate telephone messages

Access IT system, NHS Mail and follow the Trust message taking policy.

Minute taking

Support the ADoN to produce reports and presentations.

Medway & Outpatient appointments

Book all diabetic patients for follow up appointments and add to Twinkle.

Booking all PDSN ad-hoc clinics and rooms.

Print off all patients BPT (Best Practice Tariff) list for all clinics.

Checking date of patient's last annual review.

Create the blood form packs.


Support team with other bookings (i

e:

interpreters).

Update patient details including GP details & NHS No (needed for Twinkle).

Adolescent Clinic


To contact all the patients when there is an adolescent clinic and remind them of their appointment (adolescent clinic only - happens 4 times a year).

Update front sheet pre-adolescent clinic.

Twinkle (Diabetes database)

Setting up clinics.

Ensuring that all children who need an annual review are booked for one.

Input all the clinic information into Twinkle i.e., height and weight, HbA1c, treatment.

Check all patients have had eye screen and input it into twinkle (patients over 12 only). If they DNA then contact centre and rebook.

Log psychology appointments as a contact.

Log contacts to hospital

Book all meeting rooms - MDT and HbA1c Meeting.

Take minutes for meetings.

Check telephone messages on the day she is working and contact us any urgent queries we will follow up straight away.

Eye Screening >12years

Complete referral for eye screening after 12 th Birthday

Chase results and file in notes

Education & Events

Book rooms for education.

Help build education packs.

Help organise
