Summary about the Service


Community Children's Health Partnership (CCHP) Services are provided by Sirona care & health CIC working closely with our partners, Avon and Wiltshire Mental Health Partnership NHS Trust, University Hospital Bristol NHS Foundation Trust, Barnardo's and Off the Record.

Together we provide all of the community child health and child and adolescent mental health services for Bristol, North Somerset and South Gloucestershire.

Job Purpose

  • To provide a comprehensive secretarial service to the South Bristol Community Paediatric Community Child Health team.
  • To act as an effective link across NHS staff, other departments, GPs, general public and other relevant bodies.
  • To provide secretarial cover as necessary within the service.

Key Responsibilities

  • Provide comprehensive secretarial/administration support to the clinical and secretarial team.
  • Undertake any necessary photocopying, filing, faxing and other administrative duties to ensure the efficient running of the office.
  • To be responsible for the audio/copy typing of letters, reports, general correspondence and statutory assessments.
  • To arrange and organise various meetings as requested by and under the direction of clinical staff.
  • To be responsible for the typing of Child Protection reports and reports for court requested by Social Services and the Polices to ensure these are prioritised effectively and sent out promptly within tight deadlines.
  • To be responsible for requesting test results/investigations/medical records and xrays as instructed by clinical staff, urgency bringing to their attention any that need immediate action.
  • To act as a contact point and liaise with patients, medical and nursing staff, police and social services, other agencies face to face and over the telephone dealing with queries competently and professionally taking action as appropriate in accordance with the Data Protection Guidelines.
  • To assist the Outpatients Team leader / Clinical Team with the weekly intake of referrals when requested, into the department, and ensuring they are appropriately logged and monitored.
  • To deal effectively and proficiently with on call emergency situations and bring them to the attention of the clinical team.
  • Add patients to waiting lists at the direction of medical staff and make necessary outpatient appointments.
  • Ensure that the waiting list targets are met and pending lists are maintained in accordance with Patient Access Policy.
  • To organise interpreting service prior to patient/carers appointments when requested.
  • To deal efficiently and effectively with enquiries from patients/carers and professionals recognising and highlighting urgent issues to the clinicians or more senior members of staff.
  • Attendance / participation at staff meetings.
  • To be responsible for recording and booking clinical outcomes, patient follow up appointments on the Integrated Healthcare System.
  • To welcome patients and visitors to the department when necessary.
  • To assist in the training of new members of staff / colleagues.
  • To work across Community Paediatric sites across Bristol and SGlos as required.

Skills, Experience and Knowledge Required

  • Must work using own initiative, working independently in own role, knowing when to seek appropriate guidance from supervisor and more senior members of staff.
  • Good organisational/prioritisation skills, being able to meet deadlines as well as carry out day to day activities of role.
  • Excellent interpersonal skills via telephone and face to face, with a variety of stakeholders.
  • Good oral and written communication skills.
  • Awareness of policies and procedures regarding confidentiality and data protection and ensure that these are adhered to.
  • Effective team worker, providing support and cover for colleagues in times of absence.
  • Flexible and adaptable approach to work, training and own development.
  • Attention to detail to be able to complete tasks accurately and efficiently.
  • Participate as appropriate in meetings.
  • Assist in the training of colleagues and new starters.
  • To have the ability to work under pressure.
  • To be able to deal with patient queries in a professional, polite, sensitive and understanding manner.
  • Willingness to undertake further training and development.
  • Ability to work across sites in the wider CCHP area.

Qualifications and Training Required

  • RSA III typing qualification or equivalent
  • Copy / audio typing experience
  • Sound qualification in English language
  • Previous secretarial experience dealing with telephone enquiries, correspondence, office administration and diary management
