An exciting opportunity has arisen for a part time Colposcopy Database Coordinator within the Women's and Children's Directorate for Colposcopy at Northampton General Hospital.

We are looking for a reliable and enthusiastic team with a high standard of organisational skills to provide an efficient administrative service to the team.


The post holders will be required to work as part of the administration team and provide cross cover during periods of staff absence within the Directorate as and when required.

This support should be provided between the hours of 8.00 am to 17.00 unless otherwise specified at a local level.

The role of this post is to provide secretarial, clerical and administrative support to the Hospital Cervical Screening Provider Lead for Cervical Screening Services.


To liaise with the multidisciplinary team and the staff of the Histology, Cytology and Colposcopy Units as well as external agencies such as Cervical Screening Commissioner's Office, the London Regional Quality Assurance Reference Centre and the Cancer Network.


To manage incoming National Screening referrals and make sure that all patient appointments are booked within the National guidelines and to manage the Colposcopy clinics.

The post holder will deal with highly sensitive and confidential patient and service information ensuring that such information is held securely.

All work will be carried out in accordance with Trust policies and with reference to the NHS Cervical Screening Programme recommendations and guidelines.

Duties will include data preparation and collation from across the Trust.

The post holder will assist the HBPC in the preparation of annual and quarterly reports and the Cancer and Correlation audits.

The post holder will be expected to organise and minute meetings within the Trust and across external organisations.


To anticipate and manage, within the agreed time framework, the collation and presentation of data as required for annual and quarterly reports to the Screening Commissioner, the London Regional Quality Assurance Reference Centre and the Department of Health.

3. To record and organise the results of Cancer Audit and Histological/Cytological Correlation.

To arrange and minute intradepartmental meetings including Cervical Screening Services Management Team and Clinical Multidisciplinary Team meetings. This may involve using judgement to reschedule meetings when conflicting priorities arise.


To participate, when required, in data input in the Cytology Office including entering and checking patient demographics and researching and printing patients' screening histories as determined by the available clinical data on specimen request forms.

Effective use and knowledge of Trust computerised administration systems (Camis, Documentum, Colposcopy Database) using VDU on a continuous basis.

Advanced keyboard skills with ability to concentrate for prolonged periods.


Working knowledge and experience of data entry & administrative procedures and systems both routine and non-routine able to answer queries utilise skills in problem solving, chasing and progressing queries acquired through prior experience.


Collection and maintenance of sensitive patient data, scanning and photocopying, filing, word processing, in a timely manager ensuring deadlines are met through the ability to prioritise.


Manage all communication effectively (electronic, paper and telephone) in a confidential manner documenting as appropriate and disseminating information received to their intended recipients in an expeditious manner.
