What can you expect?


As an Executive Assistant you will provide administrative support to members of the Darwin Executive Team to enable them with the execution of their responsibilities.

A key part of the MMB Darwin COO role is to manage the Darwin Executive Leadership Team and other Darwin level activities.

You will provide support for these activities including the Leadership Team itself but also other related meetings like events, stakeholder updates etc.


This is a varied role in a friendly, fast-paced environment, which will require the successful individual to effectively manage multiple tasks and responsibilities to a high professional standard.

Acting as a key member of the team, the support this position provides will be vital in enabling colleagues to focus on strategic growth and client excellence.


We will count on you to:

  • Managing complex global calendars, and scheduling meetings with senior attendees across multiple time zones.
  • Attending team calls/meeting, assist in building agendas, note taking, capturing actions
  • Participating and/or leading on specific business projects as appropriate
  • Coordinating and arranging meetings and schedules in a fastpaced environment. This requires the ability to maintain composure and demonstrate "grace under pressure," including being able to coordinate and facilitate through ambiguity.
  • Arranging and coordinating complex and frequently changing domestic and international travel arrangements, including international visa and immigration matters.
  • Reconciling expense claims and credit card statements, and processing expense reports in a timely manner.
  • Managing sensitive, highly confidential, and proprietary information
  • Preparing (and anticipating) the materials needed for events, correspondence, appointments, meetings, travel,
  • Tracking and managing invoice processes.
  • Providing inperson support in the office, such as greeting visitors or ordering appropriate office supplies and equipment.
  • Liaising with internal and external colleagues, clients, and business guests.
  • Meeting agenda management, content consolidation and action tracking and reporting.

What you need to have:


  • Proven background as an Executive Assistant working at senior level.
  • Strong attention to detail
  • Ability to prioritise and be proactive
  • Problemsolving abilities
  • Strong timemanagement skills and the ability to organise and coordinate multiple projects / tasks at once.
  • Proven minute taking skills
  • Flexible in time management to accommodate the Executives you support.
