Contract to start until with a possible extension.


MAIN PURPOSE:


To provide an administration service to support the delivery of the Client's workforce development programmes and activities ensuring that customers receive an efficient, responsive and timely service.


RESPONSIBILITIES AND DUTIES:

As directed by the Workforce Development Support Officer, take responsibility for the administrative support for designated programmes and activities.

Act as first point of contact for customer enquiries providing a responsive and efficient service.


Use the Client's HR database to manage course dates, delegate course bookings - on line and manual, venue bookings, attendance registers and evaluation processes.

Update the HR database to reflect course attendances, cancellations, 'no shows' and evaluation data.

Collate evaluation data and produce summary reports.


Liaise with the Workforce Development Consultants and Officers to ensure that development activities are well planned and sufficient time is given to enable delegates to book places and meet our performance indicators for service delivery.

Monitor take up of places and alert the Workforce Development Support Officer of potential issues.


Work with the Workforce Development Support Officer to market the services of the team and programmes, including the updating of information on the onebromley learning and development pages.

Use the Council's on line ordering system (IPROC) to place orders and deal with queries regarding invoice and payments.

Liaise with internal and external providers on development activities and services to ensure that services are delivered efficiently.


Undertake and manage the set up of training venues, ensuring equipment is set up appropriately and health safety standards are observed.

Report any maintenance relating to accommodation, furniture or equipment promptly and follow up repairs as necessary.

Ensure that venues used are accessible and suitable for all service users

Have day to day responsibility for the maintenance and security of training equipment, including managing loans.

Ensure that training material is produced to a suitable standard, is available to delegates at an appropriate time and that a master version is retained within the team


SKILLS & ABILITIES


Able to work with mínimal supervision, use own initiative to problem solve and ensure an efficient and effective service is delivered.

Proven ability to organise and prioritise own work load to meet conflicting and/or multiple deadlines under pressure.


Able to forward plan and demonstrate attention to detail to ensure that all course administration requirements are met at the appropriate time and to a high standard.

Able to maintain electronic and manual records and filing systems accurately.

Numerical skills to undertake simple data collation and presentation.


Able to work as part of a team, providing mutual support and cover for colleagues within the team and across HR if necessary.

Able to set up and use, or learn quickly how to, training equipment including PCs and LCD projectors.


KNOWLEDGE
Understanding of office procedures/systems.


Basic understanding of health and safety issues as they relate to the set up of a training room and the equipment in use.


EXPERIENCE
General administrative experience working in a team, involving contact with a range of customers


SPECIAL REQUIREMENTS


Ability to set up and clear a training room which may involve transporting training material, carrying and setting up equipment and moving furniture.


A flexible approach to attendance patterns is required to ensure set up and clearing of training events, early morning or late afternoon.
