Job Introduction:


We are seeking a Systems & Data Administrator within the People Team as the Institute rapidly scales and we implement Workday ERP.

You'll report into the HRIS & Analytics Manager, and play a key role in supporting our HRIS systems and data capabilities.

The People Team, part of Internal Operations, is innovative, focused and fast paced.

We work closely with all parts of the Institute to create a talented, engaged and high performing workforce, and our HR information systems and data analytics are crucial to what we do.


This is a great opportunity for an individual with systems acumen to be involved with the implementation and ongoing maintenance of Workday as the Institute expands globally.


Key Responsibilities:


  • To act as Systems Administrator for all HRIS systems, responsible for system administration, maintenance of user access rights, system health checks and liaising with software suppliers;
  • Support the organisation on implementation and testing of new releases and functionality of Workday, working closely with the People Team, Finance and IT
  • Workday Configuration for HCM including reporting, Core HR, Benefits, Absence and Compensation
  • Troubleshoot and diagnose system issues, and recommend effective solutions, escalating to the software suppliers or HRIS & Analytics Manager where appropriate
  • Build reports & dashboards; implement bulk data uploads
  • Assist with data audits and system cleansing
  • Maintain documentation and process maps for all configuration changes or upgrades deployed
  • Maintain training materials and documentation relating to all HRIS systems including Workday, Lattice and LinkedIn Learning
  • Adhere to both internal quality standards in statutory compliance i.e. HMRC rules, Data Protection Act
  • Creating scheduled and ad hoc reports and analytics as directed
  • Act as back up system administrator for Finance Team

Person Specification:


  • Experience in working with HR systems, with an understanding of business process configuration, reporting, security administration, etc.
  • Excellent attention to detail, methodical, logical and communication skills with experience in discussing complex issues with end users
  • Technically competent with evidence of self
- development and a natural curiosity for systems and data

  • Highly organised selfstarter with a willing to challenge in a constructive manner. Delivering strong customer focus with tact and diplomacy
  • Highly organised and capable of prioritising duties during periods of high volume to meet deadlines
  • Ability to work with crossfunctional stakeholders and establish strong working relationships
  • Works well with teams or in a team environment, with the ability to work independently
  • Good knowledge of HR or payroll/finance systems (Workday ERP desirable) and understanding of how the system works to support the key business processes in Finance and HR
  • Advanced user of Excel, PowerPoint and Word
  • Experience of Using Microsoft Visio (desirable)
