What's the role all about:


Role Description


The role will support the safety, security and facilities for KBS Maritime's occupied and operational buildings, and specifically the Naval Base Headquarters Building.

The role will be responsible for providing competent support, coordination and administration enabling building occupants to work safely and efficiently.

The role does not involve the direct supervision of any employees, but will involve coordinating building custodians in other KBS Maritime buildings.


Role Purpose

  • Maintain and issue keys, security access and act as point of contact of building defect reporting and cleaning issues, tracking monitoring through to completion
  • Maintain key lists and contact information and provide regular communication around building activities
  • Visual inspections of safety, security and cleanliness issues within and external to the buildings
  • Ensure weekly tests of emergency systems e.g. fire/ lift and ensure documentation and notice boards are kept current
  • Ensure all documents in Fire Log books are kept up to date
  • Focal point for emergency evacuations (first person to take check sheet and act as POC for Fire Wardens to report to). Carry out fire evacuation procedures every 6 months
  • Maintain lists of First Aiders, locations of first aid boxes and noticeboards containing first aid info
  • Manage meeting room bookings process
  • Manage visitor logbooks and any safety briefings
  • Management of security access system (Paxton) to buildings:
  • Issuing proximity cards to occupants and contractors
  • Managing opening and closing times (such as holiday periods)
  • Monitoring out of hours entry and exit activity to building
  • Maintaining list of active and deactivated proximity cards
  • Carry out inductions for new starters
  • Update and maintain relevant Risk Assessments
  • Act as point of contact for general queries such as technical issues in meeting rooms and theatres
  • Work collaboratively with MoD staff to accommodate conference room facilities
  • Wider administrative and business support, as principal duties allow

Role Responsibilities
Be seen by internal and external stakeholders as a go-to support for building management within KBS Maritime.

Role holder will spend a large proportion of their time providing support for the safety and security elements across the business or site(s) to meet the organisations' strategic goals for buildings and our legislative requirements.


The role holder will support the development and deployment of building management requirements for the business as it adapts to the changing needs of the customer.


Key Experience:


The role holder will be an experienced admin / office management professional and able to use their experience in order to ensure effective management of building stakeholders' and their issues.

The role requires an understanding of building management and IT requirements including, Microsoft and other IT programmes.

The job holder would ideally hold a basic understanding of safety, health and environmental management standards and practice.


The role requires a good ability to communicate effectively with a wide range of stakeholders across all levels of the business and externally.

Stakeholders include (not limited to), employees, suppliers, contractors and customer representatives, including senior Naval personnel.

The job holder should be able to demonstrate integrity, credibility and maturity to gain the confidence and respect of others with high-level sensitivity and security.

Qualifications & Memberships:
