The OCM is proud to be one of the most respected professional coaching and mentoring firms delivering a diverse range of services to our clients.

This role will be part of the Business Support Team, working to support Account Managers with the development and delivery of work and the effective management of that work.

Due to the growth of the business this is a new position working in a friendly and supportive team.

You will have the benefit of working from home with regular face to face meetings with colleagues every 6 weeks in the Oxford/London area.


We are looking for someone who has experience in a similar role, can confidently work with clients, has a high attention to detail and can proofread and suggest improvements for documents going to external clients.

Overall Purpose of the job:


To support the development and delivery of work to The OCM's client organisations, and the effective management of that work.


Key Responsibilities:


  • Building strong partnerships with our key clients to ensure longevity of the relationship
  • Assisting Account Managers with client / coach matching, sending bios to organisational clients
  • Managing the setup of coach and client relationship and coach selection
  • Liaising with key client contacts to ensure projects are delivered as planned
  • Managing invoicing and purchasing processes (with key clients), including managing approved supplier status, getting POs and SoWs raised and responding to queries from our Financial Director on POs etc. and escalating any issues back to the Account Director
  • Producing budgets to support invoicing for clients as needed to support Account Director(s); ensuring that the work we are proposing meets the client needs and that profit margins are sufficient.
  • Collaborate with Account Managers to create proposals for new business
  • Completing general information ITT forms
  • Formatting and proofing of proposals, learning materials for training programmes and workshops, articles, and liaising with design team to coordinate any design work required.
  • Contributing to marketing content
  • Supporting executive team with their organisational delivery responsibilities including support with travel and meetings
  • Partnering with Account Managers on key strategic projects to ensure the work is delivered as planned
  • Project manage strategically important projects, throughout the development and delivery of the project
  • Research, analysis and production of client return on investment reports
  • Ensuring projects are set up on Excelerated
  • Approving associate invoices for payment
  • Producing reports from Excelerated to ensure projects are on track and providing feedback to coaches where applicable
  • Reading and checking client contracts

General Support

  • Support Director of Coaching in managing and developing the associate network
  • Collating and management of Associate documents
  • NDAs, contracts, insurance certificates
  • Onboarding new Associates, first point of contact for helping Associates with processes, general questions, document gathering
  • Monitoring levels of associate delivery, producing reports and monitoring supervision obligations
  • AGMs, PracticeNet groups
  • Company policy awareness and making improvements where necessary
  • Managing the Coach bio area of The OCM's website
  • Producing ad hoc analysis and reports to help Directors manage the business
  • Assisting with answering telephone calls into the 'office' and forwarding to the appropriate person within the business (office phone is remote via a laptop)
  • Supporting in other admin duties to cover holidays or sickness absence when required

Personal attributes

  • Project management / support experience
  • Competent with Excel and all MS Office packages
  • Flexible attitude towards work with the natural ability to collaborate
  • Account management support experience
  • Strong focus on delivering high standards of customer service
  • High attention to detail
  • Excellent written English
  • Diligent and a 'completerfinisher' mindset
  • Enthusiasm to contribute to support Directors with the growth of the business
  • Ability to build relationships quickly with customers and colleagues
  • A degree level qualification is a strong plus

Up to £28,273.00 per year
