Project Co-Ordinator

Department:
Fleet Management - Reports To: Global Fleet Manager


Brief Description of Role
Assist with day-to-day accounts functions including updating the system, checking shipping line schedules & booking vessels with required documentation.


Key Activities & Responsibilities (Level Basic / Intermediate / Advanced)

Key Activity - Health & Safety
approx. 5% time

Responsible for one's own, co-workers and stakeholders' health and safety.


Key Activity - System updating/checking & invoicing.
approx. 50% time

Support Global repositioning & European Fleet managers in updating repo plans in the system. Learn to eventually support with the checking for vessel spaces, deep sea bookings & documentation.

Build relationships with hauliers to get haulage rates etc. Also processing Third party tank invoicing / storages & recharges and short-term rental invoices.


Key Activity - Running reports & reporting.
approx. 45% time

Checking quarterly rate changes with procurement and keeping 'Repo sheets' up to date with correct costings.


Go to procurement when new lanes/rates are required, follow up until they are in the system and add to reports when required.

Running further reports such as 'lost tank report' etc will be required and must be known for holiday cover.


Selection Criteria

Qualifications, Skills, and Knowledge E/D
Competent in the use of I.T. system, outlook, excel etc. E

Good geographical knowledge. D


Experience
Previous roles in transport planning, cost management or within logistics industry. D

An ability to work well under pressure. D

Communicate with various departments to achieve common goals. D

Consistently accurate and a keen eye for detail. E

Excellent team player demonstrating loyalty and commitment to the organisation and team members. E
