Overview:
hVIVO conducts human challenge clinical trials.

The end goal of our clinical trials is to potentially eradicate common illnesses like the common cold and flu completely - or at least make treatment of them as easy and effective as possible.

Volunteers are central to the work that we do. Our studies focus on testing new treatments on real people, in a safe, controlled, clinical environment


We are looking to expand out Facilities team with this new position of Facilities Assitant and will be based at our London location.

You will have a can do, hands on and proactive attitude with the ability to multitask in a fast paced environment.

The position is primarily to cover our London sites in E1 however some travel may be required.


Main Responsibilities:

  • Ensure a 'can do, will do' culture is adhered to at all times
  • Support the management team and ensuring that all site facilities are running smoothly, ensuring high standards across the site at all times
  • Responsible for ensuring the stores are kept upto date and controlled
  • Collate and process information in relation to adhoc services or billing authorised by customer
  • Ensure all statutory and customer required checks are conducted timely and accurately
  • Ensure communications coming to the Facilities mailbox are managed and tasks are actioned appropriately
  • Day to day liaison for the clinical and laboratory teams for equipment and consumables
  • Ensuring the office is maintained, damages are reported and arrange repair works to be completed.
  • Take ownership and ensure that all shared spaces are maintained, always cleaned and ready for use, including meeting rooms, staff break out areas and reception
  • Check facilities related stock (eg hand sanitiser, antibacterial handwash, cleaning products, tea and coffee etc as needed)
  • Carry out other reasonable duties as required by the company
  • Providing administrative support to departments, as required.
  • Inserting and Checking PO's and invoices in Deltek
  • Daily walkdown of welfare facilities, plants and housekeeping
  • Stock management (Stationary and supplies)
  • Managing incoming/Outgoing postage (UPS/DHL/ Royal Mail)
  • Manage Access Control, Badges and card orders and Assignment and deletion of badges.
  • Review and manage the completion of the (DOB) Daily Occurrence Book
  • First Aid and Fire Warden Trained, Ensure offices are cleared when the offices need to be evacuated. Conduct Safety induction training for new personnel.
  • Perform Site Safety induction document for new office personnel and Contractors
  • Complete records of accidents, incidents and near misses documents

Skills & Experiences:
The role will require the following duties,

  • Maintain a good level of service for Facilities premises and providing a central point of support for all relevant enquiries throughout the portfolio regarding equipment and consumables
  • Keep all office and meeting room appearance to a high standard to ensure a professional working environment for all staff ensuring a professional environment when clients visit;
  • Undertake weekly H&S checklists to ensure Fire Safety compliance and maximum staff safety;
  • Where necessary support Facilities staff in alternative sites; and
  • Where necessary provide annual and sick leave cover for the Facilities and Health & Safety Manager;
