About the role:
Outpatient Services Coordinator


The Outpatient Services Team is a key operational department within the hospital, tasked with managing outpatient therapy referrals, managing the patient accounts and appointment booking for 1:1 outpatient therapy.

This includes responsibility for liaison with all stakeholders involved in the referral and treatment pathway process, from an administrative and financial perspective.

This is a patient and client-facing role, therefore, displaying stellar customer service is always imperative. The team works closely with the wider therapy team inclusive of therapists, and administrative staff.

Duties and responsibilities

Main duties
1.1 General

  • To recognise the importance of customer care and present a professional, positive, courteous, and helpful attitude at all times.
  • The role includes responding, assessing and allocating outpatient therapy referrals and enquiries, alongside the Outpatient Business Manager. This includes triaging and risk assessing referrals as necessary.
  • You will be the first point of contact for all sessional therapists with issues surrounding referrals, patients or therapy, escalating queries when required.
  • Continuing to liaise closely with consultant psychiatrists and other referrers regarding referrals for outpatient individual therapy.
  • Update the referrals database with relevant information.
  • Rotation of Reception duties for Bell Street, Therapy Centre
  • Meet with New Consultants/Therapists to explain the Referrals process currently in use.
  • Be able to bookings from therapists.
  • Be able to manage patient's treatment finances and any communication related to this.
  • Be fully competent in using the hospital's computer systems, namely Healthcode, CareSys and the production of reports from these and other industrystandard software packages.
  • Provide a high standard of documentation and maintain thorough and accurate reporting at all times.
  • Facilitate the flow of information wherever possible to improve the experience for our patients, their referrers, and their clinical teams.
  • Registration of all new referrals on the system and ensure that details are accurate and current especially as related to funding.
1.2 Enquiries

  • Ensure that all enquiries are accurately channelled to the designated team, recorded on the hospital's computer system and dealt with appropriately in a professional manner.
  • Facilitate the conversion of enquiry into treatment.
  • Ensure nonviable enquiries are helped with relevant information and advice on free services elsewhere.
  • Follow up leads from enquiries and document outcomes for future marketing and reference.
  • Facilitate information flow through to other departments in response to enquiries.
1.3 Bookings

  • Be responsible for accurately recording on the hospital's computer system all new booking from therapists.
  • Be responsible for invoicing and collecting payment for all outpatient therapy sessions.
  • Providing all patients with confirmation of their appointments once received from therapists.
  • Room resourcing and allocation for 1:1 therapy
  • Notification of any cancellations and 'did not attend' and subsequent charging of patients for outpatient therapy.
