Commercial & Systems Coordinator


Boots Property is seeking a Commercial and Systems Coordinator to join the Store Maintenance team to drive the successful delivery of critical facilities management / maintenance services in our diverse retail store estate across the UK.


  • This fulltime role is based in our Nottingham Support Office, with the opportunity to work remotely a day or two a week. We are looking for someone who is passionate about service delivery, driving system / process enhancements and has a keen eye for detail.

About the role
Reporting to the Commercial Manager, the job holder will be a member of the Store Maintenance team.

Providing support across the commercial aspect of the maintenance function, to drive our technology agenda and provide support across the overall property team.


  • Working closely across all the commercial processes, ensuring cost control and maximising contract value. You will need a keen eye for detail and great communication skills while working with external partners to monitor, track and challenge high spend, ensuring we maintain a lowcost maintenance service and maximise investment in the correct areas at the right time. Working with our finance team to ensure contractors are paid on time and to contract terms.
  • As a key driver of system use across the Boots business, you will be responsible for implementing system changes, developing processes which utilise the full functionality of the system.
  • Ensuring suppliers are abiding by commercial clauses within the contract.
  • Management and monitoring the performance of daily activities of the external invoice team
  • Take a lead role in management, implementation and development of the CAFM system and launching of functionality into the wider team
  • Cost management and tracking of small workstreams
  • Identifying and delivering commercial opportunities to drive forwarded savings
  • Use data and collaborate with the operational and asset replacement team to identify issues on the estate which are driving cost
  • Assisting with supplier sourcing and strategy providing feedback on commercial performance, further opportunities and innovative commercial models.

What you'll need to have

  • Experience of supplier management and working with multiple outsourced providers
  • Experience of administering systems, including managing changes, developing solutions, and training others
  • Experience of invoicing processes and controls
  • Ability to prioritise workload and set key delivery objectives across other teams.

It would be great if you also have

  • Experience of working in a Maintenance / Facilities Management / Property environment
  • Excellent analytical skills, with a keen eye for detail
