Background to the Post


WCG (Warwickshire College Group) is a large Further Education College group incorporating seven specialist and general FE colleges/centres with around 11,000 students every year.

The Marketing and Admissions department plays a vital role in supporting student recruitment, growing commercial income and building the college's profile with our target markets and stakeholder groups.

Events play a pivotal role in this programme of activity, from Student open events and Graduation Ceremonies to Ministerial Visits and Business Events.


Main Purpose of the Post
Working as part of a well-structured team, you will be responsible for professionally project managing events within agreed budgets.

The activities will include organising a busy events calendar ranging from cross college open days on all 6 campuses to Student Award ceremonies, in addition to supporting national campaigns such as National Apprenticeship Week and our annual Lambing weekend.

You may also be expected to attend school events occasionally. You will work alongside another Events and Marketing Campaigns Officer.

This role will require occasional evening and weekend work allocated within working hours.


Technical Competencies

  • To proactively manage the calendar of external and internal shows and events, specifically ensuring logístical aspects such as room and venue bookings, AV equipment, staff scheduling, catering etc and liaising with guest speakers and other VIPs.
  • The evaluation and analysis of all events and feedback recommendations / business rationale for attending future events and improving the experience / impact of each event.
  • To attend external shows and represent the college as required.
  • To coordinate and attend employer focussed events as requested, working with the Work Based Learning Team and relevant Marketing Officer.
  • To plan and coordinate Collegewide recruitment or promotional events including Apprenticeships Week, Colleges Week, Adult Learners week etc.
  • To work with 'Student Ambassadors' to promote the college and undertake tours and activities for events. (We plan to recruit student ambassadors in the near future).
  • To liaise with other members of the marketing team, requesting specialist assistance for campaigns, PR, web content, CRM, social media and general promotional print.
  • Safeguard and promote the welfare of children and vulnerable adults for whom you are responsible and whom you come into contact with.

  • Understand and use CRM system to track bookings and attendance from initial enquiry at events, through to attendance
  • Evaluate and produce concise and impactful written and verbal reports on events

Managing resources - ability to:


  • Manage the budgets and time allocated to the events or aspects of events for which you are responsible
  • Be flexible and adaptable
  • Rally resources from other departments to support events as necessary
  • Be mindful of staff resources and assign the relevant resource to each event appropriately
  • Identify and implement realistic timelines/workflow to maximise efficiencies on staff and resources effectively.
  • Demonstrate an innovative approach to maximising event attendance and impact

Communications - ability to:


  • Be a clear and persuasive communicator with differing audiences, from internal colleagues to external visitors including senior stakeholders
  • Be able to listen and identify critical issues quickly, recognising areas of concern and escalating as appropriate
  • Be a role model for outstanding customer service both within the college and for external relationships
  • Be able to inspire confidence and a can do attitude within the marketing team and across the wider college community
  • Be able to build close working relationships with internal colleagues and external suppliers (at venues for example)

In order to support during busy exam periods, you may be asked to undertake exam invigilator duties. The College will provide training.
