Description
We require an office administrator for an immediate start. We are a national construction and fitout company and require the office administrator to work in our Bristol office. We work with high-profile clients in sectors ranging from healthcare to leisure. This is a varied role and would suit someone who is a team player.

Main purpose of the job

To support the Operations Manager and Accounts Administrator by providing administrative support throughout the project and payment process; as well as leading on important functions like researching project costs.


Your skills / experience;

  • Good time management skills and the ability to work independently as required
  • Excellent use of Office 365 suite, including Excel
  • Excellent communication skills including the ability to communicate with clients
  • Must have some experience in a relevant position
  • Full, clean driving license.

Main duties & responsibilities

A. PROJECTS

  • To liaise with Project Managers and client Practice Managers to schedule site visits
  • To liaise with Practice Managers and contracted suppliers to schedule site visits and check availability for installation
  • To liaise with client Practice Managers and Project Managers to schedule site visits.
  • To research material, travel and accommodation costs for projects, collating information and estimates of costs and reporting
  • To update project schedules as directed
  • To liaise with Accounts Administrator and Project Managers to update project cost sheet and keep up to date
  • To create site information packs containing compliance documentation
  • Write up project meeting notes
  • Contributes to project team effort by accomplishing related results as needed.

B. PAYROLL DATA ENTRY

  • To maintain engineer's payroll by entering data by appropriate deadlines for the accounts administrator to process.
  • May sometimes have to clarify timesheet information with Project Managers.

C. MAINTENANCE

  • To support the Maintenance lead by providing admin support with Maintenance requests
  • To liaise with Maintenance lead and enter information onto Maintenance database by appropriate deadlines

D. OTHER

  • To work flexibly as part of the Projects and Maintenance team
  • To work in accordance with the organisation's policies and procedures
  • To attend meetings relevant to this post
  • To undertake training that is necessary for the development of this post
  • To undertake other appropriate duties as required by the Line Manager
  • A willingness to drive company vehicles a short distance for valeting and servicing requirements.

Salary:
From £20,000.00 per year


Schedule:

  • 10 hour shift
  • 12 hour shift

Supplemental pay types:

  • Bonus scheme
  • Performance bonus

Ability to commute/relocate:

  • Bristol: reliably commute or plan to relocate before starting work (required)
