Description

This Workplace and Facilities Manager position is responsible for providing on site support for the Workplace Program which includes, office management, health and safety, project management, office relocations, management of Smart Lockers, Flex Space, andmanagement of hot desking.

Also, to work within the Facilities Team with a focus on operational improvements and enhancing the associate experience.

As a regional facilities manager You will be working in their real estate and property team and managing theirUK head office in St Paul's (City of London).


Description

Workplace and Facilities Manager Responsibilities:


  • Overall accountability and responsibility for the daytoday management, coordination of workplace, and oversight of all keys suppliers, and inhouse teams.
  • Work with the Operations Manager to provide operations support where needed on any physical move / relocation projects
  • Run daily reporting on flex desk reservations and Smart Lockers as needed
  • With daily work order report in hand, perform start of day physical review of reserved desks to ensure that all work orders have been completed and are fully operational
  • Interact with flex desk & smart locker users to ensure they are not experiencing any issues as needed, follow up as needed
  • Work with appropriate support teams (General Services, Helpdesk, IT, Telephone Services, Facilities Assistants) to resolve any reported issues
  • Communicate efficiently with key stakeholders and local management to keep them updated on facilities related activity.
  • Attend landlord / tenant meetings annually with the Head of Property to review and discuss any service charge budgets and oneoff works
  • Assist with the tender processes for Property Management Facilities services and ensure any changes in supplier are implemented smoothly and ensuring improvements in service provision are delivered.

Profile

Experience and Key Competencies

  • A demonstratable experience of general Facilities and workplace management
  • Experience of managing a flexible working or hot desking workplace (Desirable)
  • Strong ability to manage multiple ongoing office activities at the same time
  • Experience of contract management
  • A good understanding of project management
  • Experience of Health, Safety and Environmental Legislation within the workplace
  • Excellent communicator with internal and external stakeholders, sympathetic to frustrations facilities issues can cause.
  • Selfdirected, problem solving and organised to escalate any blockers early with recommendations to senior leadership
  • Energetic and enthusiastic in embracing change with a positive, flexible attitude
  • Teamwork, leadership skills and line management
  • Excellent interpersonal, verbal and written communication skills
  • Good organisational skills with a strong attentiontodetail
  • Teamoriented with strong integrity and professionalism
