Description

Job Purpose

  • To support and enable the Operations, Finance & Commercial teams to work effectively, especially bridging the AP Queries to a point of resolution, helping to maintain good relationships with clients and suppliers, ensuring that we all meet service levels, deadlines and targets.

Aims and Objectives

  • Giving support to the finance and contract team in the timely resolution of cost control queries.
  • Provide efficient administrative support and coordination to ensure the smooth running of associated facilities services Total Facilities Management (Hard & Soft Services) contracts.
  • Review Purchase Orders on Concept Evolution & CPA (Causeway) system as required.
  • To assist with the control of all financial and commercial aspects of the associated contracts.

Key Responsibilities and Accountabilities

  • Daily resolution of purchase invoice queries across all facilities contracts
  • Review and liaison with operations teams to resolve ongoing purchase invoice queries.
  • Processing of GRN's within Causeway in relation to core works & Concept Evolution GRN's.
  • Support the commercial and contract teams in finding solutions to regular cost queries.
  • Work with the helpdesk to mitigate and eliminate PPM & Core Maintenance admin queries.
  • Weekly KPI reports on outstanding transactions.
  • Monthly reporting to Senior team of processing status.
  • Ad hoc supplier statement reconciliations.
  • Engineer timesheet administration.
  • Support Cashflow and Aged Debt Admin and Chasing.
  • Liaising with suppliers & subcontractors to resolve invoicing queries.
  • To undertake general office duties relating to the facilities contracts including correspondence & filing, preparation of reports & documents, updating of electronic records & material orders.
  • Utilities Reconciliations, Review Direct Debit Allocation, Chase Matching Team & Assist with calculations to accrue costs at monthend.
  • Undertake any other reasonable duty as directed by your line manager.

Person Specification

Qualifications, Experience, Knowledge and Skills
The knowledge, skills, qualifications and experience relevant to the position are:

Essential

  • Excellent customer care qualities.
  • Selfmotivated with good communication skills, demonstrate effective planning and time management.
  • Demonstrate the ability to integrate within a changing environment and take ownership and responsibility.
  • Good working knowledge of MS Word, Excel, Access.
  • Experience of interfacing with people including customers, suppliers & employees at all levels.
  • GCSE (or '0' Level equivalent) passes in Maths and English or recognised equivalent.
  • Good knowledge of Health and Safety in the workplace.

Desirable

  • Experience of supporting a Regional/National Facilities Services business and working with large FM contracts, Hard & Soft Services.
  • Knowledge of Financial systems.
  • Experience in a similar role.
  • A general understanding of Total Facilities Management.
  • Experience of administration duties within Facilities Management contract environment.
