In this key role you will be responsible for managing the production, monitoring and coordination of M&D Care's support staff rotas.

_

As Rota Coordinator, you will be based on site, working within our Specialist Residential service.

You will build and manage our rotas to work out who is where and how our workforce can be utilised most effectively across all care locations.

You will be supported by a team of care managers who will explain the needs of the people we support, to enable you to develop an understanding of each individual's staffing requirements.


Role and Responsibilities:


  • To manage the allocation of staff within our care services.
  • To ensure that all operational rotas are produced on time and appropriate staffing levels are maintained ensuring the accuracy of information.
  • To be responsible for building excellent working relationships with all staff members, team leaders, management and senior management to establish and deliver robust rotas with appropriate contingency plans in place.
  • To input staff personnel data including contracted hours and shift availability.
  • To ensure continuity of care for the people we support.
  • To analyse data and monitor staffing levels to ensure the operational needs of the business are met, taking into consideration sickness, annual leave, training and other factors which effect staff provision.
  • To manage rota team absence, sickness and annual leave in conjunction with the Workforce Directorate, ensuring that this process is administered in an efficient manner and recommending change processes if necessary, to improve efficiency and ensuring compliance.
  • To ensure all staff contact details are kept uptodate and adhere to GDPR (General Data Protection Regulations).
  • To be aware at all times of the importance of maintaining confidentiality and security of information gained during the course of their duties.
  • To manage day to day sickness and source support from other appropriate services to ensure the smooth running of the home.
  • To manage all pay roll queries and ensure these are rectified in a timely manner.
  • To engage in regular welfare checks with staff to ensure a positive work life balance and ensure this is reflected within their rota.

The Person:


  • You will need exceptional communication and interpersonal skills to liaise with a range of people including staff, people we support and family members.
  • You will need to be adaptable to change, analytical, logístical, fast thinking and have sound problem solving skills.
  • You will ideally have a background of working the health and social care sector and previous experience working within rota management.
  • You will need to have Microsoft Office Skills, including Word, Access, PowerPoint, Excel and Outlook.
  • You will need to highly organised individual with strong attention to detail with a methodical, structured approach.
