Executive Assistant - Birmingham, United Kingdom - Advanced
Description
Role Introduction:
Working 4 days a week in the Birmingham office/1 day remote to undertake EA duties to support the Chief People Officer.
What You Will Do:
- Screen enquiries and requests and redirecting as appropriate;
- Collate and distribute monthly business reports and presentations to the members of the Leadership team and Operational Boards, chasing up late submissions so that the pack is distributed in a timely manner;
- Liaise with the Leadership team and other staff regarding client queries/issues;
- Ability to escalate any customer enquiries to the correct member of the management team and identify urgent issues;
- Take Minutes/Actions of meetings when required;
- Undertaking background research for specific issues if required;
- Assisting in production of documents, briefing papers, reports and presentations;
- Generating expense claims for the management team and appropriately processing claims;
- Book travel, arrange Visas and put together travel packs incl itineraries, booking confirmations etc;
- Provide ad hoc support to other members of the management team as required;
- Organise or assist internal comms team with staff events such as Town Halls, All Staff Briefings etc;
- Undertake ad hoc project work as requred;
- Occasional travel within UK may be required.
What You Will Have:
- Excellent organisational skills;
- Ability to communciate in a professional manner both verbally and in writing;
- Be able to prioritise and manage workload appropiately balancing demands;
- Knowlede of Microsoft Office range of products including Outllook and Teams;
- Ability to pull together data in a consistent manner from different sources for reporting purposes;
- Be able to work effectively with mínimal supervision;
- Support other EAs across the business when required as part of a team.
