Job summary:


We are seeking an Executive Assistant (EA) to be part of our friendly, close knit, high performing and busy team, directly supporting the National Security Adviser (NSA).

Each day is different and we often need to react to new and varied domestic and international situations.


The NSA's EA will be the office focal point for all diary related matters working closely with others in the office to ensure time is managed effectively and in accordance with the NSA's priorities.

It's rare that every day goes as planned.

This will be a fast-paced role, with the EA reacting to live events to ensure that the NSA delivers the Prime Minister's objectives.

The post requires some work outside usual office hours, with a
Private Office allowance payable.

About the National Security Secretariat


The National Security Adviser (NSA) is the chief adviser to the Prime Minister and the Cabinet on national security issues and is the Permanent Secretary of the National Security Secretariat (NSS).

The NSA is also secretary to the National Security Council (NSC).

The NSS operates at the very centre of government.

It supports the Prime Minister in the development, coordination and implementation of the highest priority policy and provides support and advice to the PM, Cabinet, NSC and other Cabinet sub-committees.

Working in the National Security Secretariat is an excellent opportunity to experience and influence policy-making at the heart of Government.


Key Responsibilities

  • Managing the NSA's diary. The diary invites need to be consistently and clearly presented with all relevant information included.
  • Ensuring the diary is a useful resource for the Private Secretaries, in order to prioritise workload, and a reflection of the NSA's priorities.
  • Working with the Private Secretaries to shape the NSA's diary and travel forward look to reflect the Prime Minister's objectives.
  • Drafting regular decision notes for the NSA working alongside the Private Secretaries setting out the diary decisions to be taken and providing advice to enable the NSA to take decisions.
  • Leading the weekly diary meeting with the Private Office, providing a run through of the diary to ensure any clashes are dealt with and to confirm briefing is in hand for each meeting/event.
  • Organising the NSA's inbox. You will be the first point of contact and must ensure each request is brought to the attention of the relevant Private Secretary.
  • Recording and actioning correspondence.
  • Developing and maintaining an effective network of relationships within NSS and with No10, OGDs and external stakeholders.
  • Arranging logistics for domestic and international visits and visitors including organising travel, visas and security.
  • Leading on finance and quarterly transparency returns for the office. You will work closely with our Finance Business Partner to ensure the budget is kept under close review and staffing details are up to date.
  • Preparing the NSA's day pack, ensuring he has the relevant papers to hand and is aware of his diary commitments for the day and week ahead.
  • Leading on software implementation and wider tech support ensuring that the NSA can communicate with domestic and international counterparts and contacts.
  • Managing the invitation process endtoend. Working with the Private Secretaries on providing clear, highlevel advice on invites to the NSA.
  • Assisting with office management functions, such as stationary orders.
  • The chance to assist on policy areas.

Person specification:


No two days are the same in a Private Office, and this role will enable you to see first-hand how HMG works from the centre.

Previous experience of diary management work is helpful for this role. Experience of building relationships is key for this role.

The role involves getting to grips with competing demands on the NSA's time.

You will need to be able to manage competing priorities and issues from across a range of policy areas at very short notice in order to provide advice to the Private Secretaries.

You will need to be comfortable navigating ambiguity, and thrive in a fast-paced and changeable environment.

You will also need to be able to think on your feet and react to situations as they arise, in a calm and professional manner.

You will need to have good judgement to decide when to escalate issues, knowing what information
