Operations Administrator/Compliance/Portfolio Admin - Hybrid to £50k (dependent on experience)
As mentioned, there are a few components to the role.

We have a team of eight who are all experienced investment people and the role will be, in large part, to take on the more administrative components of their roles.

We list the key roles below, as well as what each will involve.

  • Bookkeeping:_ This role is fairly small in terms of time because a lot of this is automated:
  • VAT returns
  • Invoicing clients
  • Processing payments
  • Managing receipts
  • Keeping track of model portfolio assets and fees
  • Doing payroll
  • Paying the pension and other providers
  • Compliance Support:_
  • Creating a compliance schedule for all the regular submissions
  • Creating the support for the submissions (data)
  • Performing necessary checks each month and quarter
  • Submitting Regulatory (FCA) returns
  • Quarterly board compliance submissions
  • Managing staff training
  • Organising Research Schedules and information:_

We are a team of 8 investment researchers and we need to review our investments at least once a year, which usually involves meeting people in London.

We need to organise these meetings centrally rather than having each analyst run their own meetings.

We shouldalso ensure we have the minimum information that we need to conduct an annual review of the investments and we would ideally ask for this at the same time.


  • Model Portfolio Administration, Reconciliation and Trading:_
  • Administration and maintenance of model portfolios
  • Assist clients on model portfolio related queries and provide support
  • Implement model portfolio trades instructed by the Investment Team
  • Monitoring the settlement of model trades, performing reconciliations and resolving inconsistencies
  • Maintain model portfolio data via internal excel tools and thirdparty data providers

Relationship Building:

  • Build strong working relationships with model portfolio teams at service providers
  • Build good working relationships with operations team at various model client practices
  • Maintain good relationships with clients

Reporting:

  • Bespoke client reporting on a weekly, monthly and quarterly basis
  • Monthly model factsheet checking

Qualifications & Skills:

  • Experience in administration/operations/bookkeeping
  • Proficient in the use of Microsoft Excel
  • Will ideally come from a Financial Services background
