We are delighted to be working again with a Scottish based Professional Conference and Exhibition Organiser to recruit a Events and Membership Executive to join their growing team in Edinburgh
Our client manages large national and international conferences for the medical, academic and life sciences sectors throughout the UK, Europe, North America and Asia.
Position reports to
Conference Manager
Location
Primarily based in our Edinburgh office.
Option to work up to two days from home
Salary
up to £26,000 and is commensurate with experience.
Role Purpose
In this role you will be responsible for the management of attendee registrations and payments across
multiple events as well as processing membership fees for our Association Clients.
Our client is looking for an experienced administrator to join their Event & Membership management team.
You should thrive working in a small team environment and enjoy all aspects of business administration
as well as the opportunities to travel that come with this position.
Role Responsibilities
- Processing registrations and payments via our online software programme EventsAir (training
communication).
- Preparing financial reports in Excel to reconcile with bank statements and other internal
- Attending client meetings when required.
- Maintaining accurate logs of all correspondence with delegates.
- Preparation of all onsite registration materials.
- Attending conferences onsite and staffing the registration desks to welcome and register
- Attendance at evening social events as required.
- Assist with the set up and production of virtual conferences (training will be given).
- Providing excellent customer service to delegates from all over the world (many of whom do not
- General office administration duties, including taking incoming calls and redirecting to other
Key Skills
- Knowledge and experience of the registration software platform EventsAir is an advantage but
- Responsibility for data input accuracy and proofreading.
- Excellent customer service and confident and professional telephone manner.
- Fast, accurate typing and strong numerical skills are essential.
- Excellent knowledge of Excel and data manipulation within Excel spreadsheets.
- Bookkeeping experience or other skills that can demonstrate ability to work with figures.
- Confident in providing written registration reports to Senior Managers for circulation to clients.
- Excellent organisational skills and ability to prioritise own workload in a very busy organisation.
- Ability to work outwith normal pm office hours and to spend several days at a time away
- Flexibility with holiday arrangements/personal commitments so that you are able to attend all our
- Travel Required
- Ability and willingness to travel to attend conferences onsite in the UK
- Some international travel may also be required.

- Salary range is £20,000 £26,000 and is commensurate with experience.
