Principal accountabilities Responsible for the day-to-day management of administrative team to ensure adequate cover is available across relevant admin tasks / duties.

Ensure admin team prioritise daily tasks to achieve set deadlines. Ensure admin team input all necessary data into the patient electronic system correctly and accurately.

Ensure admin team complete time sensitive documentation including outcome letters / onward referral in line with local procedures and guidelines.


Coordination and management of clinic sessions ensuring that dates and venues for the weekly clinics are booked and ensure clinic sessions are fully optimised.

Data quality management of patient electronic record system EMIS Web and CRIS. Facilitating and performing effective minute taking when required. Close monitoring of patient pathways, ensuring patients are booked in accordance with project guidelines.

Responsible for stationery stock control and ordering of clinical and non-clinical supplies as required. If necessary, provide cover for the admin assistants in times of long-term sickness or short notice cover. Undertake other duties in accordance with the grade of this post as delegated by the TLHC Admin Hub Manager.

MANAGERIAL / LEADERSHIP The post-holder will: Work with the TLHC Operational Support Manager and participate in meetings and contribute to the establishment of effective teamwork across the admin team.


Participate and support the induction and Trust wide training programs for the administrative staff, and ensure the team adhere to Trust policy and procedures.

Work with the TLHC Operational Support Manager to develop and maintain robust working procedures for the administration team to adhere to.

Directly line manage admin assistants, including first level sickness management, appraisals, allocation of work and professional development.

Directly line manage admin hub health roster and staff rotas Coordinate, monitor and supervise staff, and coordinate and monitor their activity reporting any concerns to the TLHC Operational Support Manager.

Work closely with consultants, specialist nurses, clerical and other staff to effectively manage clinic sessions.

Take responsibility for own role, identifying any knowledge/skills gaps where additional training is required; and ensure mandatory training is kept up to date.

WORKING RELATIONSHIPS TLHC Program Team, Trust wide colleagues, Divisional Head of Operations, Consultants and other clinicians, Information Team, Date Warehouse Team, Finance Department, Human Resources, peers within other NHS Trusts.


Externally:
Primary Care GP Practices, PCRC staff, Knowsley, Halton and Liverpool CCG.

GENERAL Attending team meetings where required. Maintaining confidentiality and abide by the Data Protection Act.

Being familiar with and following health and safety policy and procedures and to be aware of individual responsibilities under legislation, drawing any areas of potential risk to the attention of managers.

Ensuring completion of timely PDR/Appraisal process with designated line manager.

Being able to demonstrate Trust values and behaviours (outlined in staff handbook) at all times. Undertaking any other duties which are deemed appropriate to the band.

The above indicates the main duties of the post which may be reviewed in the light of experience and development within the service.

Any review will be undertaken in conjunction with the post holder.
