Quality and Compliance Assistant


Location:
Southport, Merseyside


Salary:
£20,280 per annum depending on experience


Job Type: 40 hours per week


Job Role

In this role you will ensure Quality and Compliance processes are followed and records are accurately maintained in line with company standards and legislation.

You will work closely with our Quality and Compliance Lead arranging regular services and checks as well as preparing documentation for audits.

This varied role requires accurate administration and the ability to prioritise tasks effectively and adhere to deadlines.

The Quality and Compliance Assistant will support the Quality and Compliance Lead in ensuring that compliance with Data Protection Act 2018 is of the required standard.

The role will focus on review of compliance and working with staff to ensure the required standard is met. Assist with day-to-day data protection and ad hoc regulatory matters, such as (but not limited to)

  • To work within the team and assist the Quality & Compliance Lead to recognise and deal with data protection issues and escalate these to Quality and Compliance Lead where applicable
  • To take responsibility for the recording of data protection incidents, and escalating any data breaches to the Quality & Compliance lead
  • Assist the inhouse team with any filing, and general administrative tasks
  • Refer any requests for formal data protection advice to the Quality and Compliance Lead
  • Work with Quality and Compliance Lead to ensure that all insurance policies are robust, revised, and renewed annually

Reporting To - Head of Internal Operations
Will work closely with the Quality and Compliance Lead, receiving daily supervision and guidance on Data Protection and UKGDPR.


Key Requirements

  • A good command of the English language
  • Administration experience
  • Demonstration of a knowledge of data protection issues (including the Data Protection Act 2018 and the UK General Data Protection Regulation)
  • Excellent levels of attention to detail
  • Good communication skills, able to handle internal queries
  • Will be based in the Quality and Compliance section, where people come for support and advice around Data Protection and general regulation
  • Attention to detail, will be assisting in the processing of data protection records and ensuring no duplication.
  • Data inputting, scanning, uploading
  • Flexibility and ability to assist other areas of the business on an ad hoc basis where possible
  • To have a basic understanding of CQC

Essential Duties & Responsibilities
To provide the UPL Quality and Compliance team with administration and organisational support.


This includes:

  • Providing professional administration support to Unite Professionals Ltd staff in liaison with the Quality & Compliance Lead. General typing / mail merge / photocopying / collating information, spreadsheet and policy formulation
  • Scanning documents & maintaining data protection spreadsheets/databases
  • To ensure that data protection feedback information is reviewed and provide
Quality & Compliance Lead with information to effectively report on this through obtaining and collating information from staff feedback

  • Ensure the data protection database is kept up to date with all the required information for each incident
  • To assist with the production of statistical information where required for internal and external purposes.
  • Collating paperwork relating to audits
  • To ensure the Quality and Compliance area projects a professional image and ensure any information displayed or disseminated is uptodate and relevant.
  • To ensure that any visitors to UPL or internal stakeholders are welcomed and dealt with professionally and promptly.
  • To answer any external telephone calls promptly, ensuring any messages are relayed clearly to the Quality and Compliance Lead.
  • To monitor and control inboxes (including the Data Protection mailbox)
  • Administration / drafting / researching of internal policy documentation in consultation with the Quality and Compliance Lead including updating spreadsheets and drafting policy documentation.
  • Auditing and rewording CQC documents
  • Auditing Case Manager profiles annually

  • To attend any training and development events considered necessary, including data protection and professional development.
  • To uphold, contribute to and promote the commitments within our Equality and Diversity policies.
  • To observe data protection requirements and report any breaches or potential breaches to the Quality and Compliance Lead.
  • To ensure all activities comply with data protection.
