Administrator Waste Innovation Station Headquarters (WISH)

Reports to WISH Lead Coordinator and WISH Programme Manager


Part Time:
up to £16/ hr flexible


Full time:1 FTE up to £30,000. This is an onsite position. 37.5 hours per week for 5 years.

OVERVIEW


This role is the primary contact for WISH who organises day to day operations to support project plan and timeline and is the general manager of the WISH building space, taking responsibility for safety and security in absence of Programme Manager.

The individual manages all calendars for activities, an inventory of resources; and other materials that complement the project delivery. Connects and coordinates with partners/ contributors/specialists arranged for project delivery including expansion.

The role is comprised of several clusters of responsibilities:


Responsibilities and duties

1. WISH Operations (2 days a week)
a. Recruit Volunteers

c. Supervising shop staff daily as needed with support from Programme Manager and Executive Administrator (i.e. rota and suitable tasks will be preassigned but this role can support volunteers to accomplish tasks that have been pre-delegated by PM and EA).

d. Act as a credible and honest spokesperson/ public face of WISH/ Cherwell Collective as needed

e. Contact units for partnership in WISH local expansion and scope new locations with Lead Director


2. WISH Storefront (alongside other duties)
a. Operating store and museum front

b. Filing and office organisation (keeping back space and offices tidy, enforcing use of organisational system)

c. Responsible for sales, explaining services offered, booking as needed, and replenishing stock

d. Responsible for maintaining store front and stock

e. Support in getting storefront open and finding revenue streamss

f. Provide WISH building access and facilitate courses and outdoor activities as needed including Sewing Club on Thursday evenings fortnightly (7-9pm)

g. Interact with visitors (including serving hot drinks and answering basic questions about Cherwell Collective and scheduling meetings with staff as needed) and ensure that high standards of customer service are maintained

h. Open and close shop as needed

i. Uphold compliance standards in shop


3. Evaluation (1⁄2 day per week)
a. Collect footfall estimates and act on customer feedback to improve the overall running of the venue

b. Record shop deliverables around weights of units sold

Carbon Cost:
Assisting lead coordinator in development and testing of this model/ resource and streamlining to support transparency and carbon literacy gains


d. Bookkeeper (1⁄2 day per week)
i. Keep tidy financial records including filing bills and tracking invoices

ii. Reconciling expenditures and accounts

iii. Tracking sales/ revenue and inventory

iv. Track partner deliverables in reference to partnership agreement

e. Compliance administrator (1⁄2 day per week)

i. Coordinate staff and volunteer trainings across partners including carbon literacy and evaluation framework support

ii. Support evaluation team in assessing effectiveness of training and post training support to measure impact

iii. Conduct performance reviews of external staff/partners

iv. May independently audit partners to be sure deliverables are met


Essential Skills
Proficiency in Google Suite (sheets, forms, docs, gmail, etc) or Microsoft equivalent

Willingness to further train as needed (skills, software, and regulations)

Ability to work independently as well as with others.

Organised, good problem solving and time management skills, good oral and written communication skills.

Confidence in facing public and dealing professionally with complaints/needs


Desired Qualities
Previous team management experience

Understanding of confidentiality laws and GDPR guidelines.

Experience with Canva

Previous Working with volunteers

Support Role out of Carbon Cost campaign to be completed in June


60 days:

  • Quarterly report_
Support drafting of first WISH quarterly report including metrics on shop visitors and scales, stock, volunteer participation, etc.

  • WISH is a new project and partnership made possible through the The National Lottery Community Fund's Climate Action Fund._

Job Types:
