Role Overview:

This position requires the individual to deliver a proficient and thorough clerical and administrative service for the department. Responsibilities involve maintaining patient records, scheduling appointments, and preparing correspondence.

Key Responsibilities:
  • Work as part of a team to offer clerical and administrative assistance.
  • Provide a welcoming and discreet reception service to clients, staff, and visitors when necessary.
  • Perform various clerical and administrative tasks.
  • Maintain healthcare records, including electronic systems and databases.
  • Handle reception duties such as monitoring patient and visitor traffic, managing phone inquiries, and handling incoming mail.
  • Manage internal and external telephone communications effectively.
  • Compose written correspondence as needed.
  • Arrange healthcare appointments for patients.
  • Word process a variety of documents like letters, memos, and reports.
  • Possibly take notes or minutes during team meetings.
  • Handle filing, photocopying, scanning, and document attachments.
  • Establish and uphold efficient filing and follow-up systems.
  • Transfer files for archiving between locations.
  • Enter and maintain clinical data.
  • Ensure appropriate health and safety practices for oneself and others.
  • Participate in relevant training courses and updates following mandatory requirements.
  • Provide cover for absences due to sickness or annual leave when needed.
  • Perform any other reasonable duties associated with the role.
